Scope of Work
To lead & support the delivery of targeted program objectives of the Media Vertical, ensuring impactful implementation of the specified objectives
Job Responsibilities:
Programme Planning & Budgeting (Mumbai & Thane regions):
· Prepare the Annual Budget & the current year's plan with preparation of Weekly/ Monthly/ Quarterly/ Half-yearly / Annual Plan for the Arts & Media Vertical & submit to VP-Arts & Media
· Review the school-wise Training Plan developed by the Team & approve the same
· Plan to estimate budgets and to organize to execute the entire Media events
· Plan & create the Annual Events Calendar for the Media Academy
· Plan to delegate tasks to the Team to execute work during the day
· Plan for each Project & contribute with inputs for the Budget Plan (w.r.t props, food, event place)
Trainings Management (Mumbai & Thane regions) :
· Identify new Trainers to tutor the beneficiaries in each respective Media stream and ensure that they are interviewed by the AGM - Arts & Media
· Identify new schools to expand the Media Academy program, from the list of BMC Govt. aided schools
· Review Training Orientation provided for Beneficiaries at the beginning of every Training Course
· Review the Media Training Modules (Tutoring content - presentation & videos) & the Training material (including Tabs, Mobile Recharge packs) distributed prior to the scheduled Trainings
· Review the Trainer's delivery methodology of Training, during the Training and to review if Beneficiaries are facing issues in understanding the subject. In case of difficulties identified, to suggest modifications in the Training methodology / Training material to the Trainer
· Review to ensure that the attendance rate of the beneficiaries does not fall below 80%
· Review the Mid-term & Annual Media Projects of the beneficiaries and provide feedback to them, in order for them to improvise in their Media Stream
· Review the follow-up with the attendance of beneficiaries, who are absent for Training Sessions and ensure that they attend future Training sessions / workshops
· Review the session conducted by the Team on SBF's Child Protection Policy Training for beneficiaries & Trainers
· Review the Trainers' invoices and forward the same for payment processing to AGM / VP - Arts & Media vertical
· Review & contribute to the successful execution of Annual Media Exhibitions & Events such as World Photography day, Education beyond books etc showcasing / highlighting beneficiaries Projects during exhibition
· Liaison with Subject Matter Experts (SMEs) to conduct special workshops and webinars for increasing the beneficiaries' exposure in respective Media streams
Activities & Events Management (Mumbai & Thane regions):
· Review the material required for specific Activities conducted during Training sessions / Events and ensure that they are distributed prior to the scheduled Activities
· Review the assignment of Media Projects to be assigned to the beneficiaries and oversee the completion & submission of the same [online & offline mode]
· Review/ Measure the quality of work done by the Facilitators / Senior Facilitators with the beneficiaries
· Communicate with all internal & external stakeholders for the smooth execution of the event
· Delegate responsibilities effectively that are to be executed during events, prior to the events
Data Management (Mumbai & Thane regions):
· Review the attendance records of beneficiaries maintained by the Team
· Review school-wise & batch-wise Training & Activities data of respective Training sessions conducted, that are maintained by the Team
· Review School information (school names, Principal & staff contact information) maintained by the Team
· Review the Trainers' updated data, reviewed by the Team
· Review the re-calling datasheet to connect with the number of disengaged beneficiaries so has to continue to maintain contact with them with follow-up calls for ongoing Training sessions
· Monitor and evaluate the data using the Monthly & Annual tool for review of the projects of the Media stream beneficiaries
· Create the Funder-wise Beneficiaries' tagging report and submit the same to the AGM - Arts & Media
· Monitor and evaluate the current growth trend of Alumni of the Media Academy and maintain data of the same & submit the same to the Research and M&E Team for data analysis
· Review the daily performance of beneficiaries, batch-wise, in a detailed format, in order to report the same to the Supervisor
Monitoring & Evaluation (Mumbai & Thane regions):
· Monitor the smooth execution of Trainings with surprise visits, making notes to suggest improvements [both offline and online mode]
· Monitor the attendance records of beneficiaries, study trends of poor attendance and identify new methods to improve attendance numbers
· Monitor overall Training bottlenecks and suggest improvements to Facilitators / Senior Facilitators w.r.t improving dropout rates, Training quality, Trainer's feedback & beneficiaries' feedback
· Review the quality of Training Sessions conducted across schools across Mumbai region, batch-wise
Reports & Documentation (Mumbai & Thane regions):
· Review the Media Report prepared for every school where Trainings have been conducted and submit to AGM- Arts & Media
· Review Case Study Reports / documentation of beneficiaries who excel in Media stream, after completing the Training Courses from the Media Academy
· Observe and review best performers and write down their Success stories, prepare the report of the same and submit to the AGM- Arts & Media
· Observe and review highlight articles on events and reports (including content for mainstream media), so to ensure that the same is published in the Media Academy's 'Voice of Hallabol' newspaper to be distributed across all SBF associated schools
· Contribute to conduct & monitor an Online Research Survey (subject-wise) for the results to be recorded by the M & E team
· Review the preparation of videos of pre & post Training to understand the Training impact that describes the growth of the beneficiaries over a time period
· Prepare the Funders' Proposals & Reports w.r.t Media Academy and submit the same to the AGM - Arts & Media
· Prepare and submit Weekly/ Monthly/ Quarterly/ Half-yearly / Annual Reports, along with Mid-year and Annual Presentations to be submitted to the AGM - Arts & Media
Team Management (Mumbai & Thane regions):
· Conduct Annual Team Orientation sessions (explaining the Facilitators & Senior Facilitators their Job profiles in detail), activities, surveys for Mumbai region
· Manage & Review Facilitators' & Senior Facilitators' attendance & plan field visits accordingly
· Monitor the performance of Facilitators & Senior Facilitators - in terms of how they motivate beneficiaries, and for them to be able to manage Trainings well & Facilitate their Performance Management sessions
· Enhance Team members' knowledge quotient to help them improve their performance, guide them to multi-task and handle difficult situations
· Coordinate with Team internally and manage the leaves of Facilitators & Senior Facilitators across regions
· Review the Travel reimbursement bills of field visits of Facilitators & Senior Facilitators and submit the same to AGM-Arts & Media for approval
· Facilitate in interviewing new Facilitators / Senior Facilitators / replacements for exit employee cases, for Skills Vertical in alignment with the HR Team
· Support Team at various Events / Exhibitions functionally & technically
Qualification and Experience
Graduate in any stream & Post Graduate (Masters in Social Work) from a reputed institute with Program / Project Management skills, good team management abilities, ability to handle pressure and meet deadlines with 7-9 years of relevant work experience

Any previous relevant work experience working in the Social Development sector in the Media sectors is preferable
