Roles & Responsibilities of a School Receptionist A School Receptionist is the first point of contact for parents, students, visitors, and callers. The receptionist is expected to maintain a welcoming, professional, secure, and well-organized front office. 1. Reception & Front Desk Management Welcome parents, students, visitors, and guests politely and professionally. Keep the reception area clean, organized, and presentable. Attend to enquiries and guide visitors to the appropriate person or department. Ensure the reception desk is attended during school working hours. 2. Telephone & Communication Attend incoming calls promptly and courteously. Provide accurate general information about the school. Transfer calls or take messages for the concerned staff member. Maintain records of important calls and messages when required. Avoid sharing confidential information over the phone without authorization. 3. Visitor Management & School Security Maintain the Visitor Register and ensure proper entry and exit records. Verify the identity and purpose of visitors before allowing access. Issue visitor passes as per school policy. Inform the concerned staff member before sending a visitor inside. Ensure unauthorized persons do not enter student areas. Immediately report suspicious behaviour or security concerns to the appropriate authority. 4. Parent Handling Attend to parent enquiries patiently and respectfully. Guide parents regarding school timings, appointments, admissions, fee counters, transport enquiries, etc. Schedule or coordinate appointments with teachers, coordinators, or the Head of School. Avoid unnecessary arguments or discussions with parents and refer sensitive matters to the concerned authority. Maintain professionalism even when dealing with complaints. 5. Student Support Assist students who approach reception for authorized purposes. Contact parents in case of illness, emergency, or early departure when instructed by the concerned authority. Ensure students are handed over only to authorized parents/guardians according to school procedure. Maintain records of early departures/late arrivals where assigned. Never allow a child to leave the school with an unauthorized person. 6. Admission Enquiries Attend to initial admission enquiries. Provide approved information regarding admission procedures, required documents, timings, and appointments. Maintain records of admission enquiries and follow-ups where required. Direct prospective parents to the admission counsellor/office administrator. 7. Mail, Courier & Documents Receive incoming letters, parcels, and couriers. Maintain an inward/outward register where applicable. Hand over documents and parcels promptly to the concerned department. Assist with photocopying, printing, filing, and other basic office work when required. 8. Daily Coordination Coordinate with the school office, security guards, teachers, coordinators, transport staff, and other departments. Keep updated information about important school events, holidays, examination schedules, and meetings so that correct information can be provided. Communicate urgent messages promptly to the concerned person. 9. Emergency & Safety Responsibilities Keep important emergency contact numbers readily available. Know the school's basic emergency procedures for fire, medical emergencies, evacuation, and security incidents. Immediately inform the designated authority about emergencies. Follow school child-safety and POCSO-related protocols while dealing with students and visitors. 10. Confidentiality & Professional Conduct Maintain confidentiality of student, parent, staff, and school information. Never disclose students' contact details, addresses, schedules, transport details, or other sensitive information to unauthorized persons. Maintain appropriate dress, language, behaviour, and telephone etiquette. Avoid personal/mobile phone use while attending parents or visitors. Remain calm, courteous, and helpful during busy or difficult situations. Overall Responsibility: The School Receptionist should ensure that the reception functions as a welcoming yet secure gateway to the school, with particular emphasis on courteous communication, accurate information, visitor control, child safety, confidentiality, and timely coordination.

Pay: ₹10,000.00 - ₹12,000.00 per month
