JOB DESCRIPTION – FRONT OFFICE EXECUTIVE

Reporting To: HR / Admin Manager

Job Summary

MVL Limited is looking for a smart, presentable and professional Front Office Executive to manage the reception/front desk and serve as the first point of contact for clients, visitors, employees and other stakeholders.

The candidate will be responsible for handling front-office operations, telephone calls, visitor management, appointments, correspondence and basic administrative activities while maintaining a professional and welcoming environment at the office.

Key Responsibilities

Greet and welcome visitors, clients, candidates and business associates in a professional and courteous manner.
Manage the reception/front desk and ensure it remains neat, organized and presentable.
Attend, screen and transfer incoming calls to the concerned department/person.
Receive and appropriately respond to general enquiries through telephone, email or in person.
Maintain the visitor register, appointment records and other front-office records.
Coordinate and schedule meetings, appointments and conference-room requirements.
Inform the concerned employee about the arrival of visitors and guide visitors to the appropriate person/department.
Handle incoming and outgoing courier, postal mail and documents and maintain proper records.
Coordinate with security, housekeeping, administration and other departments for smooth office operations.
Maintain basic office stationery and front-office supplies and inform the Admin team whenever replenishment is required.
Assist HR/Admin with basic documentation, data entry, filing, scanning, photocopying and other office-related activities.
Maintain confidentiality of company and visitor information.
Provide basic information about MVL Limited, its office and concerned departments to visitors and callers.
Maintain professional telephone and email etiquette at all times.
Support management and administration team in meetings, events and other office activities.
Perform any other front-office/administrative duties assigned by the management from time to time.

Required Skills & Competencies

Excellent verbal and written communication skills.
Good command of English and Hindi.
Pleasant personality with professional grooming and a confident approach.
Good interpersonal and customer-handling skills.
Basic knowledge of MS Word, MS Excel, Outlook/Email and Internet.
Good typing and computer skills.
Strong organizational and multitasking abilities.
Good telephone etiquette.
Ability to handle visitors and calls professionally.
Polite, patient, disciplined and service-oriented attitude.
Ability to maintain confidentiality and handle sensitive information responsibly.

Educational Qualification

Graduate in any discipline from a recognized university.
Diploma/Certificate in Front Office, Hospitality or Office Administration will be an added advantage.

Experience

1–3 years of relevant experience as a Front Office Executive, Receptionist, Front Desk Executive, Admin Executive or similar role.
Experience in a corporate office / real estate company will be preferred.

Preferred Candidate Profile

Smart, well-groomed and professionally presentable.
Good communication and interpersonal skills.
Comfortable interacting with senior management, clients and external visitors.
Should be confident in handling multiple calls, visitors and administrative tasks simultaneously.
Should have a professional attitude and willingness to take responsibility.

Proper maintenance of visitor, courier and front-office records.
Efficient coordination of meetings and appointments.
Professional communication and coordination with internal and external stakeholders.

Pay: ₹8,357.63 - ₹22,707.72 per month
