Job Description: Operations Executive

Job Title: Operations Executive
Location: Guwahati, Assam
Department: Operations
Employment Type: Full-Time
Experience: 0–3 years
Reporting To: Operations Manager / Area Manager

1. Job Summary

We are looking for a detail-oriented and responsible Operations Executive to manage and coordinate day-to-day operational activities at our Guwahati location.

The candidate will be responsible for ensuring smooth operations, coordinating with internal teams and customers, maintaining accurate records, preparing reports, resolving operational issues, and ensuring timely completion of assigned tasks.

2. Key ResponsibilitiesA. Daily Operations Management

Manage and monitor daily operational activities.
Ensure all assigned tasks are completed within the required timelines.
Follow company processes, SOPs, and operational guidelines.
Identify operational gaps and take corrective action.
Coordinate with relevant teams to ensure smooth workflow.

B. Team Coordination

Coordinate with internal teams such as Sales, Customer Support, Finance, HR, Logistics, and other departments as required.
Communicate daily requirements and operational updates.
Follow up with team members on pending activities.
Escalate important issues to the reporting manager.
Ensure proper communication between different teams.

C. Customer / Client Coordination

Communicate with customers or clients regarding operational requirements.
Handle routine customer-related operational issues.
Follow up on pending requests.
Ensure timely responses to customer queries.
Maintain professional relationships with customers.

D. Data Entry & Record Management

Maintain accurate operational records.
Update daily reports and trackers.
Maintain customer, order, inventory, or other operational data as applicable.
Verify information before updating records.
Maintain proper documentation.

E. MIS & Reporting

Prepare daily, weekly, and monthly operational reports.
Update Excel/Google Sheets trackers.
Track important operational metrics.
Share reports with the reporting manager within deadlines.
Highlight discrepancies, delays, or unusual trends.

F. Follow-Up & Coordination

Follow up on pending activities with concerned team members.
Track tasks until completion.
Ensure deadlines are met.
Maintain a list of pending issues.
Escalate unresolved issues on time.

G. Issue Resolution

Identify operational problems at an early stage.
Understand the root cause of issues.
Coordinate with the concerned team for resolution.
Escalate critical issues to management.
Maintain records of recurring operational issues.
Suggest practical solutions to improve processes.

H. Process & SOP Compliance

Follow company policies and Standard Operating Procedures.
Ensure defined processes are followed.
Identify deviations from SOPs.
Report process violations or gaps.
Support implementation of new processes.

I. Inventory / Asset Coordination

Monitor inventory levels, where applicable.
Maintain stock records.
Coordinate stock movement.
Conduct physical stock verification.
Report shortages, damages, or discrepancies.
Coordinate with procurement or warehouse teams.

J. Vendor / Partner Coordination

Coordinate with vendors, suppliers, delivery partners, or service providers.
Follow up on pending services or deliveries.
Verify operational requirements.
Maintain vendor-related records.
Escalate service-quality issues.

K. Documentation

Maintain operational documents and records.
Ensure required documents are complete and properly filed.
Verify documents for accuracy.
Maintain digital and physical records where required.
Ensure documents are available for audits or internal reviews.

3. Daily Activities

Check emails, messages, and pending tasks.
Review previous day's operational performance.
Identify urgent activities and priorities.
Coordinate with the team regarding daily tasks.
Monitor ongoing operations.
Coordinate with internal teams and customers.
Follow up on pending tasks.
Update trackers and reports.
Resolve routine operational issues.
Escalate critical issues.
Check completed versus pending activities.
Prepare and share daily MIS reports.
Maintain the next day's pending-task list.

4. Required Qualifications

Graduate in any discipline.
BBA, B.Com, B.A., B.Sc., or equivalent qualification is preferred.
Freshers can apply, depending on company requirements.
0–3 years of relevant experience preferred.

5. Required Skills

Good verbal and written communication skills.
Basic to intermediate knowledge of MS Excel / Google Sheets.
Good data-entry and reporting skills.
