Job Description - Executive Assistant to Director(s)

Industry: Food Manufacturing / FMCG / Consumer Products
Location: Kandivali West, Mumbai
Work Mode: On-site | 6 Days a Week
Experience: 3-8 Years of experience

Role Overview:

We are looking for a smart, proactive and well-organized Executive Assistant to Director(s) to provide executive, administrative and business coordination support in a fast-paced and dynamic environment.
The ideal candidate should be mature, responsive, well-spoken and comfortable handling multiple priorities, with the ability to work independently and ensure effective follow-ups and timely execution of tasks.

Key Responsibilities:

- Manage the Director(s)’ schedules, meetings, appointments and day-to-day coordination.
- Coordinate and follow up with internal teams, vendors, customers and other stakeholders.
- Prepare MIS, reports, presentations, meeting notes and business correspondence.
- Track action points and ensure timely follow-up and closure.
- Assist the Director(s) with business, operational and administrative matters.
- Accompany Director(s) for meetings, site visits and other official engagements, as required.
- Undertake local travel independently or along with the Director(s) based on business requirements.
- Handle confidential information and sensitive matters with discretion.
- Manage ad-hoc assignments and special projects as required.

Candidate Profile:

- 3+ years of experience as an Executive Assistant / Personal Assistant / Management Coordinator or similar role.
- Experience in Food Manufacturing, FMCG, Consumer Products or Manufacturing preferred.
- Candidates who have worked in or can thrive in a fast-paced, dynamic and promoter-driven environment will be preferred.
- Excellent communication, coordination, follow-up and organizational skills.
- Pleasing personality, professional approach and strong interpersonal skills.
- Proficiency in MS Office, particularly Excel, Word and PowerPoint.
- Willingness to travel locally as required.
- Graduate in any relevant discipline; LLB will be an added advantage.

Compensation:

Will be commensurate with the candidate’s experience, skills, qualifications and is not a constraint for the right candidate
