Job Description – Executive Assistant to Managing Director (EA to MD)Position

Executive Assistant to Managing Director

Reporting To

Managing Director

Job Summary

The Executive Assistant to the Managing Director will provide high-level administrative and executive support to ensure the smooth functioning of the MD's office. The role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesExecutive Support

Manage the MD's calendar, appointments, meetings, and travel schedules.
Prioritize and coordinate daily tasks, ensuring effective time management.
Screen calls, emails, and correspondence, responding or escalating as appropriate.
Prepare meeting agendas, presentations, reports, and business documents.

Coordination & Communication

Coordinate with internal departments and external stakeholders on behalf of the MD.
Arrange and manage Board Meetings, leadership meetings, and client meetings.
Record Minutes of Meeting (MoM) and ensure timely follow-up on action items.
Act as the primary point of contact for the MD's office.

Business & Administrative Support

Maintain confidential records, documents, and business information.
Track key projects and ensure timely follow-up with stakeholders.
Prepare reports, dashboards, and presentations using Excel and PowerPoint.
Handle travel bookings, hotel reservations, visas, and expense management.

Relationship Management

Build and maintain professional relationships with clients, vendors, and senior leadership.
Coordinate VIP visits and important business events.
Ensure professional communication and representation of the MD's office.

Confidentiality & Compliance

Handle sensitive and confidential information with the highest level of discretion.
Ensure compliance with company policies and administrative procedures.

Qualifications

Bachelor's degree in Business Administration, Management, or a related field.
MBA is preferred.

Experience

3–7 years of experience as an Executive Assistant, Personal Assistant, or Executive Coordinator supporting senior leadership.
Experience supporting CXO-level executives is preferred.

Required Skills

Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Advanced proficiency in MS Office (Excel, PowerPoint, Word) and Google Workspace.
Strong coordination and follow-up skills.
High level of confidentiality and professionalism.
Problem-solving ability and attention to detail.
Ability to work under pressure and manage multiple priorities.
