JOB DESCRIPTION

Position Title - AM Contracts

Department - Contracts

Reporting To - DGM - Contracts

Job Purpose

To manage the end-to-end contract lifecycle including tendering, vendor evaluation, contractor finalization, work order management, contract administration, vendor development, dispute resolution, MIS reporting, and coordination with internal stakeholders to ensure timely and cost-effective execution of projects.

Key Responsibilities:

1. Pre-Contract Phase:

Contract Drafting and Review:

· Collaborate with technical teams to prepare comprehensive contract documents.

· Review and interpret contracts document such as drawings, specifications, conditions of contract, and statutory regulations for accuracy and completeness.

Negotiation Support:

· Assist in negotiations with OEM / vendors / contractors to finalize contract terms and conditions.

· Ensure that the agreed terms are clearly documented in the contract.

Tendering Process: Assists in the tendering process

2. Post Contract Phase

· Act as the primary interface between various project stakeholders, including design engineering team, material management team, client representatives, and contractor / OEM / vendor, for the assigned package to ensure compliance with contractual obligations.

· Manage change orders and variations to the contract, ensuring proper documentation and approvals etc.

· Obtain quotations for additional/ Variation items as may be required

· Coordinate with the legal team and develop legal notices and claims.

· Tracking, updating and follow up on contractual instruments like Bank Guarantee, Bonds, and Insurance etc.

· Issue proper delay notifications promptly to the contractors through contractual letter and suitable contracts correspondence

· Project Delay Analysis and subsequent proceedings as per Contract Agreement,

· Counter the extra claims raised by contractor with detailed cost estimates & proper justification / analysis and negotiate / minimize the extra claim with the contractor

3. Documentation and Record Keeping

· Maintain accurate and up-to-date contract records, including all correspondence, approvals, and modifications.

· Track all the prime/main contract deliverables from award to contract completion along with contract milestones and identify potential risks.

· Support corrective actions for schedule deviations.

· Monitor contract performance, RFIs and maintain claim register

· Monitor Contractor’s performance, conduct contractor’s performance evaluation jointly with all concerned stakeholders and gap analysis

· Ensure all statutory compliance like PF, ESIC, Workman Compensation Policy, CAR policy labour laws etc. being complied by the contractors

· Prepare contractual communications.

4. Communication and Coordination

· Act as the primary point of contact for contract-related matters, facilitating communication between parties

· Track compliance requirements and ensure timely closure.

· Coordinate with engineering and construction teams to ensure alignment with contract requirements.

5. Vendor Development

· Identify and onboard new vendors and contractors.

· Manage vendor registration and qualification process.

· Maintain updated contractor database.

· Improve vendor competitiveness and availability across projects.

6. MIS & Dashboard Management

· Preparation of risk / claim register

· Contract Performance Reporting (Planned Value vs Achieved value)

· Contract Closure report / checklist

· Preparation of vendor evaluation report.

· GAP analysis report

· Preparation MIS of change order / variation

7. Contract Closeout & Dispute Resolution

· Resolve contractual disputes in coordination with stakeholders.

· Facilitate contract closure and reconciliation activities.

· Coordinate with PMC consultants and project teams for contract finalization.

· Manage the contract closeout process, ensuring all obligations are fulfilled and final documentation is completed.

· Support special projects such as large-scale development contracts.

8. Stakeholder Coordination

· Liaise with Project, Procurement, Finance, design, Quality, Legal, MIS and PMC teams.

· Frequent Site visit and necessary coordination with relevant project stakeholders.

Education & ExperienceEducational Qualification

· B.E./ B.Tech in Civil / Electrical / Mechanical Engineering

· MBA / PGDM / RICS / NICMAR (Preferred)

· Commercial & Contracts Management Certification

Experience

· 5 + years of experience in Contracts, Tendering or Construction Contract Management.

· Experience in real estate, infrastructure, construction, or EPC projects

· Post Contracts Experience Preferred
