Job Summary
The School Administrator will be responsible for ensuring seamless day-to-day school operations across administration, infrastructure, facilities, manpower management, parent servicing, transport operations, vendor management, procurement, compliance, and revenue-support functions.
The role demands a highly organized, proactive, and execution-driven professional who can maintain operational excellence with zero disruptions while ensuring a safe, clean, compliant, and parent-friendly school environment.
The ideal candidate should possess strong leadership, coordination, communication, vendor management, and problem-solving skills, along with the ability to manage multiple responsibilities simultaneously.
The School Administrator will also play a key role in parent engagement, fee collection support, admissions coordination, transport management, event execution, and operational planning aligned with the school’s growth objectives.
Key ResponsibilitiesInfrastructure Development & Facility Management
- Plan and execute infrastructure upgrades aligned with school growth plans.
- Ensure classrooms, washrooms, common areas, and campus facilities remain fully operational and well-maintained.
- Maintain AMC contracts for critical equipment such as CCTV, AC systems, IT infrastructure, and electrical systems.
- Conduct regular infrastructure audits and preventive maintenance checks.
- Ensure adherence to all safety, fire, and statutory compliance norms.
Cleanliness, Hygiene & Campus Readiness
- Ensure high standards of cleanliness and hygiene across the campus at all times.
- Supervise housekeeping staff and monitor daily cleaning schedules.
- Maintain readiness for inspections, audits, parent visits, and school events.
- Implement cleanliness checklists, reporting systems, and corrective action mechanisms.
Daily Operations & School Readiness
- Conduct mandatory morning and evening operational rounds daily.
- Ensure complete campus readiness before school starts.
- Identify operational gaps and ensure timely issue resolution.
- Maintain proper documentation of observations and action taken reports.
Manpower Planning & Workforce Management
- Hire, manage, and supervise support staff including:
- Housekeeping Staff
- Security Personnel
- Multi-Skilled Technicians (MST)
- Gardeners
- IT Support Staff
- Ensure proper rostering, attendance monitoring, and productivity tracking.
- Conduct regular performance reviews and staff briefings.
Inventory, Procurement & Vendor Management
- Maintain inventory and buffer stock for all essential operational materials.
- Forecast procurement requirements monthly and quarterly.
- Coordinate with vendors for quotations, negotiations, and service delivery.
- Ensure all purchases follow approval processes, PO systems, billing documentation, and work completion validations.
- Maintain vendor databases and establish clear service level agreements (SLAs).
- Ensure timely vendor payments after proper verification and documentation.
Financial Control & Documentation
- Track budgets versus actual expenses and ensure financial discipline.
- Prevent unauthorized purchases or operational leakages.
- Maintain complete records and documentation for audits and inspections.
- Ensure timely bill submission and expense reporting.
Event Management & Cross-Functional Coordination
- Provide complete administrative support for all school events and activities.
- Coordinate logistics, manpower, infrastructure, transport, and materials for events.
- Ensure operational readiness before every event.
- Conduct post-event reviews and closure documentation.
Parent Fee Collection & Revenue Support
- Coordinate with the accounts team for timely fee collection follow-ups.
- Maintain records of fee defaulters and ensure systematic follow-ups.
- Support admission-related operational processes and parent servicing.
Parent Engagement & Relationship Management
- Build strong relationships with existing and prospective parents.
- Address parent concerns and ensure timely resolution of complaints.
- Support referral generation and parent engagement initiatives.
- Coordinate parent meetings, orientations, and communication touchpoints.
Marketing Coordination & Admissions Support
- Coordinate with the marketing team for branding, events, campaigns, and admission drives.
- Ensure smooth on-ground execution of marketing activities and school activations.
- Support admissions counselling coordination and lead management processes.
- Monitor admissions-related data, follow-ups, and conversion support activities.
Transport Management & Route Coordination
- Manage school transport operations, route planning, and vendor coordination.
- Ensure student safety protocols are strictly followed during transport operations.
- Monitor transport attendance, GPS tracking systems, and route efficiency.
- Coordinate with transport vendors, drivers, and attendants for smooth operations.
- Ensure timely response during transport-related emergencies or delays.
Compliance, Governance & Documentation
- Maintain all statutory, operational, and compliance-related records.
- Ensure readiness for inspections by education boards, safety authorities, and local bodies.
- Maintain licenses, approvals, vendor agreements, and compliance documentation.
Risk Management & Crisis Handling
- Proactively identify operational risks and implement preventive measures.
- Handle emergencies related to infrastructure, safety, transport, or parent escalations.
- Maintain escalation protocols and incident reporting systems.
Reporting & Communication
- Submit daily, weekly, and monthly operational reports to the Principal/Management.
- Maintain accurate reports related to infrastructure, operations, transport, fee collection, events, and compliance.
- Ensure timely communication and coordination across departments.
Qualifications & Skills
- Graduate/Postgraduate in Administration, Management, Operations, or related field.
- Minimum 5–8 years of experience in school administration, operations, facility management, or institutional administration.
- Experience in educational institutions will be preferred.
- Strong leadership and team management skills.
- Excellent communication and interpersonal abilities.
- Strong vendor management and negotiation capabilities.
- Good knowledge of facility operations, transport management, procurement, and compliance processes.
- Proficient in MS Office, reporting tools, and operational documentation.
- Ability to multitask, prioritize, and work under pressure.
