HVAC Project Coordinator

Company: THERMAK Air Technologist

Experience: 1–5 Years in HVAC / MEP / Construction Project Coordination

About THERMAK

THERMAK is a growing HVAC solutions company specializing in commercial and industrial air-conditioning and cooling systems. We are looking for an experienced and organized HVAC Project Coordinator to coordinate projects from order confirmation through installation, commissioning, and handover.

The candidate will work closely with customers, project engineers, technicians, contractors, vendors, and the management team to ensure projects are executed smoothly, on time, and according to specifications.

Key ResponsibilitiesProject Coordination

Coordinate HVAC projects from initiation to completion.
Prepare and maintain project schedules and installation timelines.
Coordinate with site engineers, technicians, subcontractors, vendors, and customers.
Track project progress and ensure activities are completed as scheduled.
Identify delays, site issues, material requirements, and project constraints.
Provide regular project updates to management.

Site & Installation Coordination

Coordinate installation of Split AC, VRF/VRV, AHU, Chiller, Ducting, Ventilation, Cold Room and other HVAC systems.
Coordinate site visits, measurements, material requirements, installation, testing, and commissioning.
Ensure technicians and installation teams have the required drawings, materials, tools, and instructions.
Monitor installation quality and ensure work follows approved drawings and specifications.
Coordinate with civil, electrical, plumbing, and other contractors.

Material & Procurement Coordination

Prepare material requirement lists based on project requirements.
Coordinate with the purchase and stores teams for timely material availability.
Track material dispatch and delivery to project sites.
Monitor material usage and pending requirements.
Coordinate with suppliers regarding availability and delivery schedules.

Documentation & Reporting

Maintain project files, purchase orders, work orders, drawings, BOQs, and site documents.
Prepare daily/weekly project progress reports.
Maintain project trackers and pending activity lists.
Coordinate measurement sheets and work completion reports.
Maintain documentation required for billing and project handover.

Customer Coordination

Act as a point of contact between customers and the project execution team.
Attend project meetings and provide project updates.
Understand customer requirements and communicate them to the execution team.
Resolve routine coordination issues and escalate critical issues to management.

Billing & Project Closure

Coordinate with the accounts team for project billing based on work progress.
Track completed and pending works.
Coordinate testing, commissioning, and final handover.
Ensure project documentation is completed before closure.
Coordinate warranty and post-installation service requirements when necessary.

Required Skills

Good knowledge of HVAC systems and installation practices.
Strong project coordination and follow-up skills.
Good communication and interpersonal skills.
Ability to manage multiple projects and sites.
Good knowledge of MS Excel and MS Office.
Ability to read basic CAD drawings and understand BOQs and material requirements.
Strong documentation and reporting skills.
Good problem-solving and time-management skills.
Willingness to travel to project sites.
Ability to coordinate effectively with technicians, contractors, customers, and vendors.

Educational Qualification

Preferred:

Diploma / B.E. / B.Tech in Mechanical Engineering, HVAC, Electrical Engineering, or related field.

Candidates with strong HVAC project experience may also be considered irrespective of educational background.

Experience

Preferred: 1–5 years of experience in HVAC / MEP / building services / construction project coordination.

Experience with VRF/VRV, AHU, Chillers, Ducting, Ventilation, and Cold Room projects will be an advantage.
