Full job description

Key Responsibilities

Manage the Director's calendar, appointments, meetings, and travel schedules.
Coordinate internal and external meetings, prepare agendas, and record minutes of meetings (MoM).
Handle emails, phone calls, and official correspondence on behalf of the Director.
Follow up with department heads to ensure timely completion of assigned tasks.
Prepare presentations, reports, business documents, and meeting materials.
Maintain confidential records, files, and important documents.
Coordinate with clients, vendors, partners, and internal teams.
Monitor project timelines and provide regular status updates to the Director.
Assist in planning company events, meetings, and executive visits.
Draft official letters, emails, notices, and other business communications.
Handle expense records, reimbursements, and basic administrative documentation.
Organize and maintain digital and physical filing systems.
Ensure smooth day-to-day functioning of the Director's office.
Perform any additional tasks assigned by the Director.

Required Skills

Excellent verbal and written communication skills.
Strong organizational and time management abilities.
High level of professionalism and confidentiality.
Ability to multitask and prioritize effectively.
Strong follow-up and coordination skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
Ability to work under pressure and meet deadlines.
Problem-solving and decision-making skills.
Strong interpersonal skills with a positive attitude.

Qualification

Bachelor's degree in Business Administration, Management, Commerce, or a related field.
Certification in Executive Assistance or Office Administration is an added advantage.

Experience

2–5 years of experience as a Personal Assistant, Executive Assistant, or similar role.
Experience supporting senior management or directors is preferred.

Excellent attention to detail.
Strong sense of ownership and accountability.
Flexible with working hours whenever business demands.
Professional appearance and etiquette.
Ability to handle sensitive information with discretion.

Compensation

Salary: As per experience and company standards.
