Job Description – Product Procurement & Sourcing Executive

About Scoobies

Scoobies is a kids’ lifestyle brand focused on creating fun, innovative, colourful and thoughtfully designed toys, stationery and lifestyle products for children. We are looking for a creative and commercially driven Product Procurement & Sourcing Executive who can identify new product opportunities, source products from the right vendors, negotiate effectively and support the development of products from concept to final launch.

Role Overview

The candidate will be responsible for product sourcing, vendor development, procurement and product development support across toys, stationery, gifting and kids’ lifestyle categories.

The ideal candidate should have a strong understanding of design, colours, trends, materials, product aesthetics and children’s products, along with good commercial and negotiation skills.

A NIFT graduate with an eye for design and an understanding of consumer trends will be preferred.

Key Responsibilities1. Product Sourcing & Identification

· Identify new and innovative products across kids’ toys, stationery, school supplies, gifting and lifestyle categories.

· Research emerging product trends, designs, materials, colours, themes and concepts in the kids’ market.

· Track competitor products, pricing, packaging and new launches.

· Explore domestic and international sourcing opportunities.

· Identify products that have potential to be developed under the Scoobies brand.

· Build and maintain a strong pipeline of new product ideas and sourcing opportunities.

2. Product Development

· Work closely with the design and product teams to convert ideas/concepts into commercially viable products.

· Understand product specifications, materials, colours, dimensions, functionality and packaging requirements.

· Coordinate with vendors for samples, prototypes and product modifications.

· Follow up on sample development and ensure products meet the required quality and design standards.

· Suggest improvements in product design, functionality, aesthetics and cost.

· Support new product development from concept → sourcing → sampling → approval → production → launch.

3. Vendor Development & Management

· Identify, evaluate and onboard new manufacturers, suppliers and vendors.

· Develop a reliable vendor base for toys, stationery and related products.

· Maintain strong relationships with existing suppliers.

· Evaluate vendors based on quality, pricing, capacity, lead time, compliance and reliability.

· Conduct regular vendor follow-ups for sampling, production and deliveries.

· Resolve vendor-related issues and ensure timely corrective actions.

4. Costing & Negotiation

· Obtain quotations and prepare comparative costing sheets.

· Negotiate product prices, MOQ, payment terms, lead times and other commercial terms.

· Work towards achieving the right balance between cost, quality and design.

· Identify opportunities for cost optimisation without compromising product quality.

· Maintain product cost databases and sourcing records.

5. Market & Trend Research

· Conduct regular research on kids’ product trends, toy trends, stationery trends, gifting trends and international markets.

· Study platforms, brands, exhibitions, marketplaces and competitor launches to identify new opportunities.

· Identify trends in characters, themes, colours, materials, formats and packaging relevant to children.

· Present new product concepts and sourcing opportunities to the management/product team.

6. Procurement & Production Coordination

· Raise and manage purchase requirements/orders as per company processes.

· Coordinate with vendors to ensure production is completed as per approved samples and specifications.

· Monitor production schedules and delivery timelines.

· Coordinate with internal teams such as Design, Quality, Sales, Marketing, Warehouse and Finance.

· Ensure timely availability of products for planned launches and seasonal requirements.

7. Quality & Compliance

· Ensure sourced products meet Scoobies’ quality standards and approved specifications.

· Coordinate with vendors for pre-production and production samples.

· Follow up on quality issues and ensure corrective actions.

· Ensure necessary product testing, documentation and compliance requirements are followed, especially for children’s products.

Key Skills Required

· Strong product sourcing and procurement skills.

· Excellent understanding of design, colours, materials and product aesthetics.

· Good knowledge of kids’ toys, stationery, gifting and lifestyle products will be an advantage.

· Strong vendor identification and relationship-management skills.

· Excellent negotiation and communication skills.

· Strong commercial understanding and costing ability.

· Good research and analytical skills.

· Ability to identify market trends and translate them into product opportunities.

· Good knowledge of MS Excel / Google Sheets and PowerPoint.

· Strong follow-up and execution skills.

· Ability to manage multiple products and vendors simultaneously.

· Creative mindset with a strong eye for detail.

Educational Qualification

Preferred:

· Bachelor’s/Master’s degree from NIFT (National Institute of Fashion Technology), preferably in Fashion Design, Accessory Design, Lifestyle Accessory Design, Textile Design, Product Design or a related discipline.

Other relevant qualifications in Product Design, Fashion, Merchandising, Procurement or Supply Chain may also be considered.

Preferred Experience

· 1–4 years of experience in product sourcing, procurement, buying, merchandising or product development.

· Experience in toys, stationery, kids’ products, gifting, lifestyle, FMCG or consumer products will be preferred.

· Fresh NIFT graduates with strong product understanding, internships and sourcing/product-development exposure may also be considered.
