Accounts & Admin Executive

Location: Noida
Experience: 1 Year
Employment Type: Full-Time

About the Role

We are looking for an Accounts & Admin Executive to manage the day-to-day accounting, finance operations, and administrative activities of our growing D2C business.

You will work closely with the founders and management and will be responsible for keeping our financial records, e-commerce payments, employee payments, vendors, and basic office administration organized and up to date.

We are not looking for a highly experienced candidate. A candidate with 0–1 year of experience who is comfortable with numbers, Excel/Google Sheets, and day-to-day coordination is ideal.

Key Responsibilities1. Accounts & Finance

Maintain day-to-day records of company income and expenses.
Record and organize purchase and sales invoices.
Track company expenses and ensure proper supporting documents are maintained.
Maintain bank transaction records and assist with bank reconciliation.
Track vendor bills, outstanding payments, and payment schedules.
Maintain records of receivables and payables.
Prepare basic monthly expense and financial reports for management.
Ensure all financial records are properly organized and updated.

2. E-commerce & Marketplace Accounts

Track sales and settlements from Amazon, D2C website, Flipkart and other marketplaces.
Reconcile marketplace settlements with actual sales.
Track marketplace commissions, fees, returns, refunds, TCS/TDS and other deductions.
Match marketplace settlements with bank credits.
Identify discrepancies between marketplace reports, sales records and bank statements.
Maintain a monthly marketplace reconciliation sheet.

3. Salary & Employee Payments

Prepare monthly salary calculations based on attendance and applicable deductions.
Coordinate and process monthly employee salary payments.
Maintain employee salary and payment records.
Track employee advances, reimbursements and other payments.
Maintain attendance and leave records for payroll purposes.
Coordinate with the CA/payroll consultant wherever required.

4. GST, TDS & Compliance Support

Maintain invoices and financial documents required for GST and TDS.
Coordinate with the company's CA for GST, TDS and other statutory requirements.
Provide required sales, purchase, expense and payment data to the CA on time.
Maintain proper documentation for audits and compliance.
Keep track of important accounting and compliance deadlines.

5. Administration

Manage routine office administration and documentation.
Coordinate with office vendors and service providers.
Maintain records of office-related expenses and purchases.
Manage office supplies, stationery and basic procurement.
Coordinate maintenance, repairs, housekeeping and other office requirements.
Maintain company documents, bills, agreements and other records in an organized manner.
Assist with employee onboarding documentation and basic HR administration.
Coordinate with courier, logistics and other service providers when required.
Handle other day-to-day administrative requirements of the company.

6. Reporting & Management Support

Prepare and maintain regular reports covering:

E-commerce sales and settlements
Bank transactions
Monthly expenses
Vendor payments
Employee salaries
Receivables and payables
Office expenses
Cash flow and payment requirements

The candidate will also assist the founders with basic financial analysis and tracking whenever required.

Requirements

0–1 year of experience in accounts, finance or administration.
B.Com, BBA, M.Com or a related qualification preferred.
Good working knowledge of MS Excel / Google Sheets.
Basic understanding of accounting principles.
Good numerical and analytical ability.
Strong attention to detail.
Good organizational and documentation skills.
Comfortable coordinating with vendors, employees and external consultants.
Ability to maintain confidentiality of company and employee financial information.
Tally/accounting software experience is a plus.
