CRM Operations & Support Executive – Real Estate

Location: On-Site (Mulund)

Industry: Real Estate

Employment Type: Full-Time

Reports To: Post-Sales Head, with working relationships across Project Heads and Directors

Job Overview

We are looking for a proactive and detail-oriented CRM Operations & Support Executive to take ownership of the day-to-day running of our Real Estate CRM platform. A central part of this role is acting as the bridge between our internal teams and the external CRM vendor — coordinating on customizations, operational issues, and ongoing support. Alongside this, you will be the go-to person for the team's CRM-related needs and the person responsible for ensuring our project data and workflows stay clean, current, and usable.

This is an entry-level role with high visibility. You will work closely with the post-sales team, project heads, and senior management.

Key Responsibilities - CRM Operations & Day-to-Day Support

Own the day-to-day running of the CRM platform across pre-sales and post-sales workflows.
Be the first point of contact for internal team members needing help with CRM usage.
Troubleshoot user-reported issues, resolve what you can, and escalate the rest to the vendor.
Perform data entry, data verification, and maintain accurate records in the system.
Upload and manage customer data, inventory details, payment schedules, milestones, and project-related information.
Support project teams with high-volume data entry during peak periods such as launches and bookings drives.

Project Onboarding

Onboard new real estate projects into the CRM, following the SOPs handed over by the consulting team.
Set up inventory structures, configure payment plans, load document templates, define user roles, and configure project-specific workflows.
Coordinate with sales, accounts, legal, and operations teams to ensure data accuracy at setup.

Vendor Coordination & Issue Resolution

Act as the single point of contact between our team and the external CRM vendor — this is a core pillar of the role.
Coordinate with the vendor on operational issues as they arise, including server performance, post-update bugs, and post-deployment fixes.
Raise customization requests with clear, well-documented requirements.
Track open development tickets and follow up on resolution timelines.
Test new features and customizations (UAT) before they go live to internal users.
Escalate bugs, blockers, and SLA issues as needed.

User Support & Training

Provide hands-on support to internal team members for CRM-related questions and workflow issues.
Onboard new joiners to the CRM and help them get up to speed on platform usage.
Help maintain and expand internal SOPs, training material, and FAQ documentation as the system evolves and new project workflows are added.
Take on a larger direct training role as needed — for example, when major CRM changes are rolled out or when new teams are onboarded.

Reporting

Pull reports for project heads and senior management on request.
Maintain reports and follow-ups on pending tasks and open issues.
Flag system or workflow issues to management proactively.

Requirements

Basic understanding of real estate operations and workflows.
Basic knowledge of accounts, payment schedules, and documentation processes.
Good computer proficiency and the ability to learn software tools quickly.
Comfortable with Excel, data entry, and handling large datasets.
Strong problem-solving and coordination skills.
Good communication and people-handling abilities.
Attention to detail and organizational skills.
Ability to work independently, manage multiple stakeholders, and prioritize tasks.

Preferred Qualifications

Prior experience in real estate, CRM operations, backend operations, or customer support.
Familiarity with builder/developer processes, inventory management, or real estate documentation.
Experience using CRM or ERP software is an added advantage.
Excel power-user skills (pivot tables, lookups, working with large datasets).
Comfort with writing clear functional requirements or specs for development teams.
