ABOUT THE BLOX GROUP
The Blox Preschool Group is a fast-growing multi-business organisation based in Panipat, Haryana. Our businesses include two branches of The Blox Preschool (Model Town and Huda 13/17), a B2B bulk diesel fuel station, and rental income properties.
We are building a fully systematised, scalable business with SOPs, checklists, KRAs, KPIs, and weekly scoring systems already in place. We now need the right person to ensure every system runs every day — without the owner needing to ask.
ABOUT THE ROLE
You will be the Process Coordinator for The Blox Group — the guardian of all systems across all three businesses.
Your job is NOT to do the work yourself. Your job is to ensure every team member completes their work on time, every system runs as designed, and the owner receives one clean weekly score report every Monday morning.
This is the most critical role in the organisation right now. Everything runs through you.
YOUR CORE MISSION
Every system runs. Every person completes their checklist. Every delay is flagged before the owner needs to ask. Sahil receives one weekly score report every Monday by 8:55 AM — and that report tells him everything he needs to know about how his business ran last week.
YOUR KEY RESPONSIBILITIES
- DAILY SYSTEM FOLLOW-UP
- Check every team member's daily checklist completion every morning by 9 AM
- Follow up immediately with anyone who has not started their checklist
- Review the Pending Tracker daily — flag all RED and BLOCKED items
- Ensure EA Morning Briefing was sent by 8:30 AM — log if missed
- Ensure EA Mid-Day Update sent by 12 PM — log if missed
- Ensure EA End-of-Day Summary sent by 5:30 PM — log if missed
- Update Master Score Sheet for all team members every evening
- PRESCHOOL SYSTEM COORDINATION
- Verify fee collection follow-up is happening daily in both branches
- Check admission enquiry log is updated and warm leads are being followed up
- Ensure staff attendance and leave records are maintained
- Confirm all vendor follow-ups are completed on time
- Flag any preschool system that is not running as designed
- FUEL STATION SYSTEM COORDINATION
- Verify B2B client follow-ups are happening as scheduled
- Check expense and cash match records are updated daily
- Confirm staff coordination and attendance tracking is running
- Flag any fuel station process that has stopped or slipped
- WEEKLY SCORE COMPILATION
- Compile weekly performance score for ALL team members every Friday by 4 PM
- Score every person on their KRA checklist — 1 for on time, 0 for late, -1 for not done
- Prepare Monday Meeting Score Report and send to owner by Friday 5 PM
- Flag any team member scoring below 70% with specific notes on what was missed
- Prepare Monday Executive Meeting agenda — scores, negative items, improvement commitments
- MONDAY EXECUTIVE MEETING SUPPORT
- Send score sheet to owner 5 minutes before meeting starts — 8:55 AM sharp
- Read out each team member's score during the meeting
- Note all improvement commitments made by team members
- Follow up on those commitments throughout the week
- ESCALATION AND ACCOUNTABILITY
- First miss — verbal reminder and log as negative score
- Second miss of same task in a week — written WhatsApp message to the person, formal log entry
- Three consecutive days missed on critical task — inform owner same day, do not wait
- Score below 70% for two consecutive weeks — flag to owner with full details for formal review
- SYSTEM IMPROVEMENT
- Identify which systems are breaking down repeatedly and why
- Suggest improvements to checklists, processes, and SOPs
- Ensure all new SOPs and processes are communicated and trained to the team
- Maintain the System Master Sheet — keep it updated and accurate at all times
YOUR DAILY ROUTINE
8:45 AM — Check EA Morning Briefing was sent. If not — call EA immediately. 9:00 AM — Check all team members have opened and started their daily checklist. 10:00 AM — Review Pending Tracker. Follow up on all RED and BLOCKED items. 11:30 AM — Check preschool and fuel station coordination tasks are on track. 12:15 PM — Verify EA Mid-Day Update was sent to owner. 2:00 PM — Review all delegation tasks — are deadlines on track? 5:45 PM — Verify EA End-of-Day Summary was sent. 6:00 PM — Update Master Score Sheet for all team members. Log the day.
Every Friday by 5 PM — Weekly Score Report complete and sent to owner. Every Monday by 8:55 AM — Score sheet in owner's hands before meeting starts.

Skills Required:
- Strong written and verbal communication in Hindi and English
- Proficient with Google Sheets, Google Calendar, WhatsApp Business
- Ability to manage multiple tracking systems simultaneously
- Comfortable having direct accountability conversations with colleagues
- Basic report preparation and data compilation
Qualifications:
- Graduate in any discipline — MBA or management background preferred
- Minimum 1 to 2 years experience in operations, coordination, or admin role
- Experience with systems, checklists, or process management is a strong plus
- Panipat-based or willing to relocate — immediate joining required
