Job Description – Warehouse Executive / Officer

Position Summary:

The Warehouse Executive/Officer will be responsible for the receipt, storage, dispensing, inventory management, and dispatch of raw materials, packaging materials, intermediates, APIs, and finished goods in compliance with cGMP, GDP, and regulatory requirements. The role ensures accurate inventory control, proper documentation, and uninterrupted material supply to production operations.

Key ResponsibilitiesWarehouse Operations

Receive, verify, and store raw materials, packing materials, solvents, APIs, and finished goods as per approved procedures.
Ensure proper material identification, status labeling, and segregation of approved, quarantined, rejected, and expired materials.
Dispense and issue materials to production as per approved requisitions and batch requirements.
Maintain FIFO/FEFO practices for all inventory items.
Coordinate material movement between warehouse, production, QA, and QC departments.

Inventory Management

Maintain accurate stock records in ERP/SAP systems.
Conduct cycle counts, monthly stock verification, and annual physical inventory.
Investigate and resolve inventory discrepancies.
Monitor stock levels and coordinate with procurement for timely replenishment.
Ensure inventory accuracy and minimize stock losses.

Documentation & Compliance

Maintain GRNs, material issue notes, stock registers, logbooks, and warehouse records.
Ensure compliance with cGMP, GDP, Good Documentation Practices (GDP), and company SOPs.
Support internal, customer, and regulatory audits.
Maintain records related to batch traceability, material reconciliation, and inventory transactions.

Storage & Safety

Ensure storage conditions such as temperature and humidity are maintained as per material requirements.
Monitor warehouse housekeeping and ensure compliance with EHS guidelines.
Handle hazardous chemicals and solvents as per safety procedures.
Ensure proper storage and disposal of rejected, damaged, and expired materials.

Dispatch & Logistics

Coordinate dispatch of finished goods for domestic and export shipments.
Prepare dispatch documentation including invoices, delivery challans, packing lists, and transport documents.
Coordinate with transporters and logistics partners for timely deliveries.
Ensure compliance with regulatory and customer-specific shipping requirements.

Qualifications

B.Sc., B.Pharm, M.Sc., Diploma in Pharmacy, Supply Chain, Logistics, or related discipline.
2–6 years of experience in warehouse/stores operations within API, pharmaceutical, chemical, or formulation manufacturing industries.
Knowledge of cGMP, GDP, SOPs, inventory management, and warehouse documentation.
Experience with ERP/SAP systems preferred.
Proficiency in MS Excel and inventory reporting.
