Full job description

We are a real estate firm based in New Delhi (head office) looking for an experienced, soft-spoken, and dependable Receptionist to manage our front office and support our administrative and documentation work. This is not a purely front-desk role — the candidate will also handle customer records, assist with documentation and paperwork, and coordinate with government departments (electricity, water, and similar) over phone calls on behalf of the firm.

Key Responsibilities

Greet and assist walk-in clients, visitors, and callers in a professional and courteous manner
Answer and route incoming phone calls; take accurate messages and follow up as needed
Maintain and update customer/client data records (contact details, property inquiries, transaction status) accurately and confidentially
Assist in preparing and organizing documentation and paperwork, including sale deeds and other property-related documents, under guidance
Liaise with government/municipal departments (electricity, water, and other utility or civic bodies) purely over phone calls — no in-person visits required — for connections, transfers, bill corrections, and related work
Draft, type, and send formal letters and applications to government departments and other external parties
Track pending departmental applications/complaints and follow up over phone until resolved
Handle basic office administration: courier/dispatch, filing, maintaining office supplies, and scheduling appointments/meetings
Maintain confidentiality of company and client documents at all times
Support the team with day-to-day coordination and any other front-office duties as required

Requirements

5+ years of experience as a receptionist, front-office executive, or administrative assistant — real estate industry experience strongly preferred
Soft-spoken, patient, and polite in manner, but firm and effective at getting work done — especially while following up with government office staff over the phone
Good command of spoken and written English, along with fluency in Hindi
Working knowledge of MS Excel and MS Word preferred
Experience handling documentation work such as agreements, sale deeds, or similar legal/property paperwork preferred
Comfortable following up with government/utility departments (electricity, water, municipal offices) over phone calls and getting matters resolved
Well organized, detail-oriented, and reliable with follow-through on pending tasks
Genuinely looking for a stable, long-term position — this is not a stop-gap or short-term role
