Job Description – Admin Head

Job Title: Admin Head
Department: Administration
Experience: 8–15 Years
Employment Type: Full-Time
Location: Ludhiana

Job Summary

We are looking for an experienced Admin Head to oversee the complete administration function of the organization. The role will be responsible for office/facility management, vendor management, security, housekeeping, transportation, employee facilities, administrative budgeting, and ensuring smooth day-to-day operations.

Key Responsibilities

Manage and oversee all administrative activities of the organization.
Ensure smooth and efficient functioning of office/facility operations.
Manage housekeeping, security, transportation, reception, maintenance, and other support services.
Supervise and manage the administration team and support staff.
Develop and implement administrative policies, SOPs, and processes.
Manage vendors, contractors, service providers, and AMC contracts.
Negotiate vendor contracts and ensure cost-effective procurement of administrative services.
Monitor office infrastructure, furniture, equipment, utilities, and facility maintenance.
Ensure proper security arrangements and workplace safety standards.
Manage employee transportation, canteen, housekeeping, and other employee welfare facilities, where applicable.
Monitor administrative expenses and prepare/manage the annual administration budget.
Maintain proper records of assets, contracts, licenses, insurance, and other administrative documents.
Coordinate with government departments, local authorities, and external agencies whenever required.
Ensure compliance with applicable statutory, safety, fire, and facility-related requirements.
Handle administrative emergencies and resolve operational issues promptly.
Support management in organizing meetings, events, employee engagement activities, and official functions.
Identify opportunities to improve administrative processes and reduce operational costs.
Prepare regular MIS and reports related to administration, expenses, vendors, assets, and facilities.

Required Qualifications & Skills

Bachelor's degree in Business Administration, Management, or a related field.
8–15 years of relevant experience in administration/facility management.
Strong leadership and team-management skills.
Excellent vendor and contract management skills.
Good knowledge of facility, security, housekeeping, transport, and office management.
Strong negotiation and cost-control abilities.
Good communication and interpersonal skills.
Strong problem-solving and decision-making skills.
Proficiency in MS Office/Excel and administrative management systems.

Smooth and uninterrupted administrative operations.
Cost optimization and adherence to administrative budgets.
Vendor performance and service quality.
Facility maintenance and infrastructure uptime.
Employee satisfaction with administrative services.
Security and safety compliance.
Timely renewal of contracts, licenses, AMCs, and statutory documents.
Effective management of administrative assets and resources.

Pay: Up to ₹50,000.00 per month
