PURPOSE OF THE ROLE
The Plant Assistant serves as the Owner's right hand at the plant level. This is a high-trust, operations-critical role designed to ensure that every system, process, and policy established by ownership is implemented, enforced, and sustained — without the owner needing to be physically present for day-to-day execution.
The role demands exceptional discretion, reliability, and the ability to manage people, processes, and numbers simultaneously. The Plant Assistant operates behind the scenes, handles escalating issues before they reach ownership, and acts as the single accountable point of contact for plant administration and operations.
KEY RESPONSIBILITIES
1. Plant Administration
▸ Manage all administrative functions of the plant on behalf of the owner
▸ Maintain accurate records, documentation, filing, and reporting systems
▸ Draft and distribute internal communications, notices, and policy updates
▸ Coordinate scheduling, shift rosters, and plant calendars
▸ Liaise with vendors, suppliers, and service providers as needed
2. Operations Oversight
▸ Oversee day-to-day plant operations and ensure production targets are met
▸ Monitor workflow, identify bottlenecks, and implement corrective actions
▸ Supervise floor supervisors and department leads to ensure alignment
▸ Enforce all standard operating procedures (SOPs) set by ownership
▸ Conduct regular plant floor walk-throughs and produce observation reports
3. Accounts & Financial Oversight
▸ Oversee and monitor plant-level accounts, petty cash, and expense records
▸ Review invoices, purchase orders, and approvals within delegated authority
▸ Ensure all transactions are documented and reconciled on schedule
▸ Flag anomalies, overspending, or irregularities directly to the owner
▸ Coordinate with the accounts team to ensure timely reporting
4. Systems Enforcement
▸ Act as the primary enforcer of all systems and policies set by the owner
▸ Ensure 100% compliance with owner-defined procedures across all departments
▸ Identify gaps or non-compliance and take immediate corrective action
▸ Train and re-train staff on systems as required
▸ Escalate persistent non-compliance to the owner with documentation
5. Production Monitoring
▸ Track production output, quality, and efficiency metrics daily
▸ Ensure production schedules are adhered to and delays are flagged early
▸ Coordinate between production, stores, and dispatch teams
▸ Monitor raw material availability and escalate supply concerns proactively
▸ Prepare and submit daily/weekly production summaries to the owner
6. People & Team Coordination
▸ Oversee attendance, discipline, and conduct at the plant level
▸ Be the first point of escalation for staff grievances and operational issues
▸ Ensure team leaders are performing to standard and being held accountable
▸ Coordinate onboarding and orientation for new plant staff
▸ Maintain a calm, professional, and productive working environment
7. Owner Reporting & Communication
▸ Provide the owner with regular, concise updates on plant status
▸ Prepare reports, summaries, and dashboards as required by ownership
▸ Escalate urgent issues immediately with proposed solutions
▸ Attend meetings with the owner and implement all directives given
▸ Maintain strict confidentiality on all sensitive business matters
WHAT THIS ROLE IS NOT
This role is not a decision-making role — it is an execution role. The Plant Assistant does not set policy, change systems, or make strategic decisions independently. They enforce, implement, and report. All major decisions remain with the owner.
CANDIDATE REQUIREMENTS
Essential:
▸ Proven experience in plant, factory, or operations management
▸ Strong numerical literacy — comfortable reviewing accounts and reports
▸ Exceptional organisational and administrative skills
▸ High level of personal integrity, discretion, and trustworthiness
▸ Ability to manage and lead people firmly but professionally
▸ Strong written and verbal communication skills
▸ Proficient in MS Office or equivalent reporting tools
Desirable:
▸ Background in manufacturing, food processing, or industrial operations
▸ Experience working directly under a business owner or MD
▸ Familiarity with ERP, inventory, or production tracking systems

Performance will be assessed against the following benchmarks:
▸ All owner-defined systems are in operation and being enforced without exception
▸ Daily/weekly reports are delivered accurately and on time
▸ Production targets are met and variances are explained with data
▸ Accounts are clean, reconciled, and flagged issues are escalated promptly
▸ The plant operates smoothly in the owner's absence with no major incidents
▸ Staff performance and discipline are maintained at the required standard
Pay: ₹30,000.00 - ₹60,000.00 per month
