School Manager – CBSE & IGCSE SCHOOL

Role Overview

The Administrative Officer is responsible for the efficient management of school administration, infrastructure, safety, establishment records, admissions coordination, branding support and operational compliance, ensuring smooth day-to-day functioning of the school in coordination with the Principal and Head Office.

KEY RESPONSIBILITY AREAS (KRAs)

A. Administration, Maintenance & Safety

Supervise repairs and maintenance of school buildings, furniture, garden, playground and facilities
Ensure daily cleaning, housekeeping and sanitation through assigned agencies/manpower
Manage and monitor student safety and security measures on campus
Supervise and control security guards and campus safety protocols
Coordinate with HO Hardware & Software teams for upkeep of movable and immovable assets
Ensure compliance with safety, hygiene and infrastructure norms
Ensure effective operation, monitoring, and regular maintenance of CCTV surveillance systems across the campus for enhanced safety and security

B. Establishment & Staff Records Management

Supervise attendance, leave records and ERP master data
Ensure proper updation of Service Books and staff personal files
Monitor establishment-related compliance and documentation
Correspondence with affiliation body and government authorities

C. Transport & Vehicle Management

Supervise ERP App updation and GPS tracking
Ensure coordination and safety compliance of school transport operations

D. Admissions, RTE & Student Section Coordination

Report admission status regularly to Head Office
Coordinate with Admissions and Marketing teams for enrollment-related activities
Organize entrance exams in consultation with the Principal
Verify mandatory admission documents and confirm online admissions in Meghe Fees Software
Supervise smooth functioning and compliance of the Student Section
Handle RTE-related documentation and coordination

E. School Promotion, Branding & Outreach

Organize events, admission fairs, seminars and outreach programs
Identify geographical areas for promotions
Conduct random parent feedback calls and route concerns appropriately
Coordinate with social clubs and community organizations for branding initiatives

F. Website, Media & Publications

Update the school website regularly and ensure content refresh every 15 days
Prepare event news in consultation with school authorities and forward to HO
Build relationships with local media and newspaper editors
Maintain database and ensure timely submission of quarterly school bulletins

G. Coordination, Reporting & Financial Follow-up

Coordinate official meetings with staff and parents
Resolve parent queries and complaints professionally
Follow up on outstanding fees with Accounts
Confirm student strength and reconcile data with Accounts
Obtain Management approvals on Note Sheets, Work Orders (WO) and Purchase Orders (PO)

H. Other Responsibilities

Carry out any other work assigned by Principal / Management / Head Office
Ensure adherence to school policies, SOPs and CBSE guidelines

Qualifications

Graduate / Postgraduate in Administration, Management, or related field
Knowledge of school ERP systems and office software
Certification in facilities management or compliance is an added advantage

Experience

5–10 years’ experience in school administration or institutional operations
Experience in CBSE-affiliated schools preferred
Exposure to admissions coordination, transport and facilities management

Core Competencies

Strong administrative and operational management skills
Knowledge of school compliance, safety and infrastructure norms
ERP handling, documentation and MIS reporting
Coordination with multiple stakeholders (HO, Principal, vendors, parents)
Problem-solving and decision-making ability
Attention to detail and process orientation
Effective communication and grievance handling

Pay: ₹40,000.00 - ₹75,000.00 per month
