Full job description

We are looking for a proactive and organized Admin / Administrator to manage day-to-day administrative activities and support smooth business operations within our interior design firm. The role involves office administration, client coordination, documentation management, vendor follow-ups, scheduling, and conducting pre-sales calls with potential clients to qualify leads and schedule meetings for the design team.

Key Responsibilities

Administrative Responsibilities

Manage daily office operations and ensure smooth functioning of the workplace.

Maintain company records, client files, contracts, quotations, invoices, and project documentation.

Coordinate meetings, appointments, and calendars for management and design teams.

Handle incoming calls, emails, and correspondence professionally.

Maintain office supplies and coordinate with vendors for office requirements.

Support HR activities such as attendance tracking, employee records, and onboarding documentation.

Prepare reports, presentations, and operational documents as required.

Client Coordination

Act as the first point of contact for clients and visitors.

Coordinate between clients, designers, project teams, and vendors.

Schedule client meetings, site visits, and design presentations.

Ensure timely follow-up on client requirements and project updates.

Pre-Sales & Lead Management

Make pre-sales calls to new enquiries received through website, social media, referrals, and marketing campaigns.

Understand client requirements, budget, location, and project timelines.

Qualify leads and schedule appointments for the sales/design team.

Maintain lead records in CRM or tracking sheets.

Conduct regular follow-ups with prospective clients.

Generate daily and weekly lead status reports.

Support conversion efforts by ensuring prompt communication with all enquiries.

Vendor & Project Support

Coordinate with vendors, suppliers, and contractors for documentation and follow-ups.

Assist project teams with purchase orders, delivery schedules, and administrative requirements.

Maintain records of project-related documents and approvals.

Required Skills

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Good telephone etiquette and customer handling skills.

Proficiency in MS Office (Excel, Word, PowerPoint) and Google Workspace.

Ability to manage documentation and maintain accurate records.

Basic understanding of CRM systems is an added advantage.

Professional, presentable, and customer-focused approach.

Qualifications

Bachelor's Degree in Business Administration, Commerce, Management, or a related field.

2–5 years of experience in administration, office management, customer service, or a similar role.

Experience in an interior design, architecture, construction, or related industry will be preferred.

Key Performance Indicators (KPIs)

Timely lead response and follow-up.

Number of qualified meetings scheduled.

Accuracy and maintenance of administrative records.

Client satisfaction and coordination efficiency.

Smooth execution of office and operational processes.

Vendor and documentation management effectiveness

Pay: ₹20,000.00 - ₹30,000.00 per month
