JOB DESCRIPTION – EXECUTIVE ASSISTANT TO DIRECTOR

Position: Executive Assistant to Director

Job Type: Full-Time | On-Site

Work Location: Kolkata, West Bengal (Work from Office)

Salary will depend on last drawn salary, experience, skills and suitability. No bar for the right candidate.

Education: Bachelor's Degree (Mandatory)

Language: English – Required. Knowledge of Hindi is also required.

Job Location: Kolkata.

About the Role

PRAGATI AGRI PRODUCTS PVT. LTD. is looking for a smart, proactive, well-organized and highly responsible Executive Assistant to the Director.

Key Responsibilities

Provide day-to-day executive assistance and administrative support to the Director.
Manage and coordinate the Director’s day-to-day activities, meetings, appointments and schedules.
Maintain regular follow-up on tasks, assignments, commitments and pending matters.
Coordinate with different departments, employees, vendors, clients, business associates and other stakeholders as required.
Prepare, maintain and update various MIS reports, statements, delegation, google sheet and management reports.
Collect information from different departments and ensure timely submission of reports.
Draft and manage professional emails, letters, notices and other business communications.
Handle confidential and sensitive information with discretion.
Monitor important deadlines and ensure timely completion of assigned tasks.
Maintain proper records, documents and correspondence.
ensuring timely follow-ups, and assisting in the smooth execution of important tasks and assignments.
Assist the Director in meetings by preparing required information, notes and follow-up points.
Track decisions taken during meetings and ensure appropriate follow-up with concerned persons.
Coordinate with internal teams to ensure that instructions from the Director are properly communicated and executed.
Conduct online research and collect information as required for business purposes.
Prepare presentations, Excel sheets, summaries and other documents as instructed.
Assist in travel planning, meetings, appointments and other administrative arrangements when required.
Take independent ownership of assigned tasks and ensure completion without constant supervision.
Perform any other executive, administrative or coordination-related responsibilities assigned by the Director.

Detailed Job Responsibilities and work processes will be explained/provided after appointment.

Good problem-solving and decision-making ability.
Ability to maintain confidentiality.

Ability to coordinate effectively with senior management and multiple departments.
