Job Summary

Sweet County Delights Pvt. Ltd. is looking for a professional, well-organized, and customer-focused Receptionist to manage the front office, handle visitor interactions, coordinate communication, and provide administrative support. The ideal candidate should possess excellent communication skills, a pleasant personality, and the ability to multitask in a fast-paced FMCG manufacturing environment.

Key ResponsibilitiesFront Office Management

Welcome visitors, customers, vendors, and interview candidates professionally.
Manage the reception area and ensure it is clean, organized, and presentable.
Maintain visitor entry and exit records and issue visitor passes.

Telephone & Email Management

Handle incoming and outgoing telephone calls professionally.
Transfer calls to the concerned departments promptly.
Receive, screen, and forward official emails and inquiries.

Visitor & Meeting Coordination

Coordinate appointments and meetings for management.
Inform employees of visitor arrivals.
Arrange meeting rooms and refreshments whenever required.

HR Support

Schedule interviews and coordinate with candidates.
Assist in employee joining formalities and document collection.
Maintain interview records and attendance.

Administration Support

Maintain office stationery inventory and raise purchase requests when required.
Coordinate with housekeeping, maintenance, and security teams.
Support day-to-day administrative activities.

Courier & Document Management

Receive and dispatch courier parcels and official documents.
Maintain inward and outward courier registers.
Ensure timely distribution of documents to concerned departments.

Record Keeping

Maintain visitor registers, courier logs, meeting schedules, and other administrative records.
Ensure proper filing and confidentiality of company documents.

Compliance

Follow company policies, safety procedures, and visitor management protocols.
Maintain confidentiality of company and employee information.

Required Skills

Excellent verbal and written communication skills.
Good command of MS Office (Word, Excel, Outlook).
Professional appearance and positive attitude.
Strong interpersonal and customer service skills.
Good organizational and multitasking abilities.
Ability to work under pressure and manage multiple priorities.
Basic knowledge of office administration and documentation.

Preferred Experience

Experience as a Receptionist, Front Office Executive, or Administrator.
Experience in an FMCG, Manufacturing, or Factory environment will be preferred.
Knowledge of visitor management systems and office coordination.

Key Performance Indicators (KPIs)

100% accurate visitor registration.
Calls answered within three rings.
Timely interview and meeting coordination.
Accurate maintenance of office records and registers.
Timely handling of courier and document dispatch.
High standards of customer service and professional communication.
Effective coordination with internal departments.
