Administration Executive

Location: Noida, Sector 68

About the Role

We are looking for a proactive and well-organized Administration Executive to manage the day-to-day administrative operations of our office while serving as the first point of contact for visitors, employees, and vendors at the reception desk. The role requires excellent organizational, communication, and multitasking skills to ensure the smooth functioning of office operations and provide administrative support to the HR and management teams.

Key Responsibilities

Front Desk & Visitor Management

Be stationed at the reception desk during office hours and serve as the first point of contact for visitors, candidates, vendors, and employees.
Welcome visitors professionally and coordinate with employees regarding appointments and meetings.
Handle incoming phone calls, courier deliveries, and visitor records.
Maintain a clean, organized, and professional reception area.

Office Administration

Ensure smooth day-to-day office administration and operations.
Coordinate housekeeping, pantry services, office cleanliness, and facility maintenance.
Liaise with vendors for office repairs, maintenance, and other administrative requirements.
Monitor office infrastructure and ensure all facilities are functioning efficiently.
Organize meeting rooms and support internal meetings and company events.

Procurement & Asset Management

Maintain adequate inventory of stationery, pantry supplies, housekeeping materials, and other office consumables.
Raise purchase requests and coordinate procurement activities.
Maintain office asset inventory and movement records.
Coordinate allocation and collection of assets during employee onboarding and exit.

HR & Administrative Support

Manage the biometric attendance system and maintain employee attendance records.
Register new employees and generate attendance reports as required.
Assist the HR team in scheduling interviews and sending recruitment-related communications.
Support employee onboarding documentation and other HR administrative activities.
Coordinate employee engagement initiatives such as birthday celebrations, festivals, and office events.

Documentation & Reporting

Update billing records, expense trackers, and administrative reports using Microsoft Excel.
Scan, print, photocopy, and organize documents.
Maintain accurate digital and physical administrative records.
Coordinate domestic travel bookings and logistics whenever required.

General Responsibilities

Coordinate effectively with internal teams and external service providers.
Ensure office policies and administrative procedures are followed.
Perform any other administrative responsibilities assigned from time to time.

Skills Required

Excellent verbal and written communication skills.
Pleasant personality with a professional and customer-friendly attitude.
Strong organizational and multitasking abilities.
Good coordination and follow-up skills.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Basic knowledge of OneDrive, Google Drive, and document management.
Ability to maintain records with accuracy and confidentiality.
Vendor management and coordination skills.
Strong problem-solving ability with attention to detail.
Ability to work independently and prioritize multiple tasks.

Qualification

Graduate in any discipline from a recognized university.
Experience in office administration, front office, or administrative support.
Fresh graduates with excellent communication and organizational skills may also apply.
