Full job description

Advanced Institute of Nondestructive Testing & Training (ANDT) is a growing technical training and career development organization specializing in NDT, QA/QC, Welding Inspection, Painting Inspection, Mechanical Engineering, and international career development.

We work with students, working professionals, industries, and organizations across India and support career opportunities in India, the Gulf, and other international markets.

About the Role: We are hiring a highly organized, proactive, energetic, and resourceful Executive Assistant to the Founder.

This is a hands-on Founder’s Office and Executive Assistant role, not a conventional desk-only position. You will work directly with the Founder and help manage executive productivity, schedules, communication, business operations, meetings, travel, content coordination, and special projects.

The ideal candidate should be comfortable taking ownership, following up independently, handling changing priorities, and solving problems without waiting for detailed instructions.

Key Responsibilities

1. Executive Assistance & Founder Productivity

Manage the Founder’s daily, weekly, and monthly schedule.
Maintain calendars, reminders, appointments, meetings, and important deadlines.
Screen and manage emails, calls, and routine communications.
Draft professional emails, messages, reports, and meeting summaries.
Attend meetings, take notes, and prepare clear action points.
Track tasks assigned by the Founder and follow up with team members until completion.
Prepare presentations, reports, research, and briefing documents.
Ensure the Founder is prepared and on time for meetings, travel, events, and important commitments.

2. Business Operations & Project Coordination

Coordinate with different departments and team members.
Maintain task trackers and follow-up systems.
Ensure important work progresses according to deadlines.
Conduct business, market, and competitor research.
Support new projects and special initiatives.
Maintain organized digital files, documents, reports, and records.
Identify operational gaps and recommend practical improvements.

3. Content & Personal Brand Coordination

Capture high-quality videos and photographs using a smartphone when required.
Assist in planning and coordinating YouTube, Instagram Reels, LinkedIn, and other social media content.
Coordinate with video editors, designers, and internal team members.
Help maintain content calendars and publishing schedules.
Organize raw video files and ensure content is transferred to the appropriate team members.
Assist with basic research for video topics, business trends, and industry-related content.

4. Travel, Meetings & Events

Coordinate travel, accommodation, meetings, and business visits.
Prepare travel schedules and itineraries.
Support the Founder during business events, seminars, institutional visits, and other assignments.
Be willing to travel when required.

Required Skills & Qualifications

A fast learner with strong problem-solving abilities.
Professional in communication, presentation, and conduct.

Reliable, disciplined, and capable of maintaining confidentiality.

Technical Skills

Required:

Microsoft Office: Word, Excel, and PowerPoint.
Google Workspace: Gmail, Calendar, Docs, Sheets, and Drive.
Professional email and written communication.
Internet research and online communication.
Task management and scheduling.

Preferred:

ChatGPT and AI productivity tools.
Basic video editing.
Smartphone videography and photography.
Social media coordination.

Qualifications

Bachelor’s degree preferred; candidates from any discipline may apply.
Freshers with exceptional communication, organizational, and technology skills are welcome.
Previous experience as an Executive Assistant, Personal Assistant, Founder’s Office Associate, Operations Coordinator, Project Coordinator, or Executive Coordinator will be an advantage.

Working Schedule

This role requires flexibility and may occasionally begin early or extend beyond standard business hours based on the Founder’s schedule, business requirements, travel, meetings, and events. Preference will be given to candidates who are comfortable staying in company-provided accommodation.
