Office Administration ExecutiveJob Summary

We are looking for a highly organized, detail-oriented, and proactive Office Administration Executive to manage day-to-day administrative operations, maintain accurate records, monitor call quality, provide performance feedback, and support internal teams through effective coordination and communication.

The ideal candidate should possess excellent communication skills, strong interpersonal abilities, advanced Microsoft Excel skills, attention to detail, and the ability to analyze call records and provide constructive feedback to improve service quality and team performance.

Key ResponsibilitiesOffice Administration

Manage day-to-day office administrative activities and ensure smooth office operations.
Maintain and organize documents, records, reports, and databases.
Handle emails, phone calls, correspondence, and other administrative communications.
Coordinate meetings, appointments, and internal office activities.
Maintain office supplies, stationery, and administrative records.
Coordinate effectively with internal departments, clients, vendors, and service providers.
Prepare daily, weekly, and monthly administrative reports.

Call Record & Quality Management

Maintain accurate and updated call records on a daily basis.
Monitor and review calls to ensure compliance with company quality standards and procedures.
Conduct regular call quality assessments using predefined quality parameters.
Evaluate communication, customer handling, professionalism, accuracy, and process adherence.
Identify gaps, errors, and areas for improvement during call evaluations.
Maintain detailed Call Quality and Call Monitoring Reports.
Analyze call trends and prepare performance reports for management.

Call Feedback & Performance Monitoring

Provide clear, constructive, and professional feedback based on call evaluations.
Maintain accurate records of call feedback and follow-up actions.
Communicate performance gaps effectively to employees and relevant team members.
Support employees in improving their communication skills, customer handling, and professional interaction.
Follow up on previously identified performance issues and monitor improvements.
Escalate recurring or serious quality issues to management.

Excel & MIS Reporting

Demonstrate excellent proficiency in Microsoft Excel for data management and reporting.
Maintain call tracking sheets, quality scorecards, feedback trackers, and performance databases.
Prepare accurate daily, weekly, and monthly MIS reports.
Use advanced Excel functions such as VLOOKUP/XLOOKUP, IF, SUMIFS, COUNTIFS, INDEX-MATCH, and other relevant formulas.
Create and manage Pivot Tables, Pivot Charts, dashboards, and data summaries.
Analyze call and performance data to identify trends, gaps, and improvement opportunities.
Ensure accuracy, consistency, and timely completion of all reports.

Communication & Coordination

Maintain excellent verbal and written communication with employees, management, customers, and external stakeholders.
Communicate instructions, feedback, updates, and performance expectations clearly and professionally.
Handle professional phone conversations and email correspondence effectively.
Coordinate with different departments to ensure timely completion of administrative and operational tasks.
Demonstrate active listening and professional interpersonal skills.
Handle difficult conversations and performance-related feedback in a constructive manner.
Maintain professionalism, confidentiality, and a positive attitude in all communications.

Required Qualifications & Skills

Bachelor's degree or diploma in Business Administration, Management, Commerce, or a related field.
Previous experience in office administration, call quality, customer service, MIS reporting, or a similar role is preferred.
Excellent Microsoft Excel skills are mandatory.
Excellent verbal and written communication skills are mandatory.
Strong data management and analytical abilities.
Experience in call monitoring, call recording, quality assessment, or feedback management is an advantage.
Strong interpersonal and coordination skills.
Excellent attention to detail and accuracy.
Good organizational and time-management skills.
Ability to multitask and work under deadlines.
Ability to work independently and as part of a team.
Professional attitude with strong problem-solving skills.

Core Competencies

Pay: ₹13,000.00 - ₹18,000.00 per month
