JOB DESCRIPTION (JD)Position: Executive – SG / Paldi / Nikol, Ahmedabad

Department: Administration / Facility Management
Location: SG / Paldi / Nikol
Reports To: Assistant Manager / Facility Manager
Role Type: Full Time

1. Job Purpose

The Executive – SG / Paldi / Nikol is responsible for day-to-day coordination and monitoring of facility-related activities at the hospital. The role includes regular rounds, coordination with different departments, monitoring of Biomedical Waste (BMW) and linen activities, handling department indents, petty cash requirements, and ensuring timely resolution of maintenance-related issues.

2. Key ResponsibilitiesA. Morning Round

Conduct daily morning rounds of the hospital as per the defined area/route.
Check cleanliness, hygiene, basic facility conditions and availability of essential items.
Identify operational issues during rounds and coordinate with the concerned department for resolution.
Follow up on pending issues and ensure timely closure.
Maintain records of observations and actions taken during rounds.
Escalate major or unresolved issues to the reporting manager.

B. Biomedical Waste (BMW) Management

Monitor proper segregation of biomedical waste at the point of generation.
Ensure availability and proper use of designated BMW bins/bags.
Coordinate with housekeeping and concerned departments regarding BMW collection and disposal.
Check that BMW handling practices are followed as per hospital guidelines.
Report any improper segregation or non-compliance to the concerned department.
Maintain/assist in maintaining required BMW-related records and checklists.

C. Linen Management

Monitor availability of clean linen in the required hospital areas.
Coordinate with the concerned team for collection and replacement of used/soiled linen.
Monitor proper segregation and handling of soiled linen.
Follow up on linen shortages, damaged linen and replacement requirements.
Maintain coordination with the linen/laundry team for smooth daily operations.
Report recurring linen-related issues to the reporting manager.

D. Department Indent Management

Collect and coordinate departmental requirements/indents.
Verify the requirement with the concerned department before processing.
Coordinate with stores/purchase and other concerned teams for timely fulfilment.
Follow up on pending indents and ensure timely availability of required items.
Maintain proper documentation and records of indents.
Escalate urgent or delayed requirements to the concerned authority.

E. Petty Cash

Handle approved petty cash requirements related to routine hospital/facility activities.
Maintain proper bills, vouchers and supporting documents for every expense.
Ensure expenses are made only against approved requirements.
Maintain daily petty cash records and balance.
Submit supporting documents and reconciliation to the concerned authority within the defined timeline.
Immediately report any discrepancy in petty cash.

F. Maintenance Rounds

Conduct regular maintenance rounds of assigned hospital areas.
Identify issues related to electrical, plumbing, civil, furniture, equipment or other facility requirements.
Coordinate with the maintenance team for timely rectification.
Record complaints/issues and monitor their status until closure.
Follow up on preventive and corrective maintenance activities.
Escalate critical maintenance issues that may affect patient care, safety or hospital operations.

3. Coordination & Communication

Coordinate effectively with Nursing, Housekeeping, Maintenance, Stores, Purchase, Security and other hospital departments.
Maintain professional communication with staff and departmental representatives.
Ensure important operational issues are communicated to the reporting manager on time.
Support smooth functioning of hospital operations at the assigned location.

4. Documentation & Reporting

Maintain daily round/checklist records.
Maintain records related to BMW, linen, indents, petty cash and maintenance issues as applicable.
Prepare/update required reports and trackers.
Ensure all documents are complete, accurate and available for review.
Support internal audits and inspections whenever required.

5. Compliance & Safety

Follow hospital policies, SOPs and safety guidelines.
Ensure activities are carried out as per applicable hospital standards.
Immediately report any safety hazard, infection-control concern or major operational issue.
Maintain confidentiality of hospital and patient-related information.
Support quality improvement and compliance activities of the hospital.

6. Key Skills Required

Good communication and coordination skills.
Basic knowledge of hospital facility operations.
Good follow-up and problem-solving ability.
Basic documentation and reporting skills.
Ability to coordinate with multiple departments.
Good time management and organizational skills.
Basic knowledge of MS Office/Excel preferred.
Ability to work in a hospital environment and handle day-to-day operational requirements.

7. Performance Indicators (KPI)

Timely completion of morning and maintenance rounds.
Timely closure of identified facility issues.
Proper monitoring of BMW and linen activities.
Timely processing and follow-up of departmental indents.
Accurate petty cash documentation and reconciliation.
Timely submission of reports and checklists.
Effective coordination with concerned departments.
Compliance with hospital SOPs, safety and quality requirements.

8. Accountability

The Executive – SG / Paldi / Nikol will be accountable for the effective coordination and monitoring of assigned facility and administrative activities and for ensuring that identified issues are properly followed up and escalated until resolution.

Pay: ₹25,000.00 - ₹35,000.00 per month
