Full job description

We are looking for an experienced Purchase Manager with a strong background in the School/Education sector to manage procurement, vendor coordination, inventory records, distribution, MIS reporting, and purchase-related accounts activities. The candidate will be responsible for ensuring timely procurement and distribution of school materials while maintaining accurate documentation, cost control, vendor records, and coordination with the Accounts and Administration teams.

Key Responsibilities

Manage end-to-end purchase and procurement activities for schools, including sourcing, quotations, negotiation, purchase orders, and vendor coordination.
Procure school-related materials such as stationery, books, uniforms, teaching aids, office supplies, housekeeping materials, maintenance items, and other administrative requirements.
Coordinate with different school departments to understand and consolidate purchase requirements.
Maintain proper records of Purchase Orders, quotations, invoices, delivery challans, GRNs, stock receipts, and issue records.
Maintain school-wise and department-wise records of materials purchased and distributed.
Coordinate the distribution of materials across different schools/branches and maintain proper dispatch and receipt records.
Prepare and maintain daily, weekly, and monthly MIS reports related to purchase, stock, distribution, vendor status, pending orders, and expenditure.
Monitor stock levels and coordinate timely procurement to avoid shortages or unnecessary excess inventory.
Maintain vendor database, including vendor-wise purchase history, rates, payment status, outstanding balances, and performance records.
Verify vendor invoices against Purchase Orders, delivery challans, and actual quantities received before submitting them to Accounts.
Coordinate with the Accounts team for invoice processing, vendor ledger reconciliation, payment follow-ups, and purchase-related documentation.
Assist in checking GST invoices, GST details, tax components, and other statutory requirements related to purchases.
Reconcile purchase records with physical stock, system records, invoices, and vendor statements.
Maintain proper documentation and filing of all procurement, distribution, inventory, and vendor-related records.
Negotiate with vendors to obtain competitive pricing, suitable credit terms, and timely delivery.
Monitor vendor performance and ensure adherence to agreed quality and delivery standards.
Prepare comparative statements and management reports for major purchases and procurement decisions.
Support school management in budget monitoring and purchase cost control.
Coordinate with Administration, Accounts, Stores, and School Management for smooth procurement and distribution operations.

Qualifications

Graduate in Commerce, Business Administration, Supply Chain Management, or a related field.
Strong working knowledge of MS Excel, MIS preparation, and data management.
Basic to good knowledge of accounting, purchase accounting, vendor ledgers, invoice verification, and reconciliation.
Working knowledge of GST and purchase-related documentation.
Knowledge of Tally/ERP/accounting or procurement software will be preferred.
Strong organizational, analytical, negotiation, and record-keeping skills.
Good communication and coordination skills.

Experience

4–7 years of relevant experience, preferably in the School/Education sector.
Candidates with experience handling procurement for schools, educational institutions, or multi-branch school groups will be strongly preferred.
Practical experience in school-wise procurement, material distribution, vendor management, purchase MIS, and inventory records is required.
Experience in coordinating with Accounts for invoice processing, vendor reconciliation, GST documentation, and payments will be an added advantage.
Strong hands-on experience in MS Excel, MIS reporting, stock reconciliation, and purchase documentation.
Candidates who have handled procurement for multiple schools/branches simultaneously will be preferred.

Pay: ₹35,000.00 - ₹55,000.00 per month
