About the Role

As Executive Assistant to the CEO, you’ll work closely with the CEO to help manage day-to-day priorities, projects, and communications.

You’ll handle scheduling, information flow, follow-ups, and special projects — acting as a trusted partner and ensuring that the CEO’s time is focused on what matters most. You’ll also help coordinate across teams — making sure ideas turn into action.

What You’ll Do

As the Executive Assistant to the CEO at Headphone Zone, you’ll be the CEO’s trusted partner — keeping him organised, informed, and focused on high-impact priorities. You’ll play a pivotal role in helping the business move faster and smarter, while embodying our culture of service, excellence, and passion for music.

Here’s what your day-to-day will look like:

Communication Management: Own and manage the CEO’s communication channels — emails, calls, messages — ensuring timely responses, clear priorities, and seamless information flow.
Calendar & Scheduling: Take full ownership of the CEO’s calendar — scheduling meetings, appointments, travel, and events — to ensure optimal time management and alignment with business priorities.
Follow-Up & Execution: Drive effective follow-up on action items, decisions, and key projects. You’ll ensure that tasks move forward and that nothing slips through the cracks.
Delegation & Team Coordination: Assist the CEO in delegating tasks and coordinating with team members across departments. You’ll help keep the right people aligned and projects on track.
Research & Insights: Conduct in-depth research on industry trends, competitors, and market insights to support the CEO’s strategic decision-making.

What We’re Looking For

Few years of experience in executive assistance, operations, or project coordination
Strong organisational skills and attention to detail
Excellent written and verbal communication skills
Ability to handle confidential information with discretion
A mindset aligned with our values: doing the right way, not the easy way; always learning and improving; taking ownership and responsibility; understanding that growth lies in discomfort; serving with grace and respect
Ability to anticipate needs and act proactively
Comfortable working in a fast-paced, dynamic environment
Based in Mumbai — this is a full-time, in-office role at our HQ in Andheri West
