Job Description: Procurement & Project Coordination Manager – Civil

Department: Projects

Reports to: Project Manager/ Executive Director – Operations

Location: Bengaluru, Karnataka

Employment Type: Full – Time

Role Purpose

A single site-based role combining material procurement and project coordination, sized for MV Group's current scale — one person owns both material availability and planning/documentation for the site, instead of splitting these across two positions. The role raises and tracks material indents against the site's Weekly Look-Ahead Plan, and in parallel owns the site's coordination touchpoints — DPR, RFI tracking, approvals, and PMO reporting — acting as the site's single point of contact for procurement and planning matters.

Key Responsibilities

Procurement

Raise Material Indent Forms (MIF) against the Weekly Look-Ahead Plan, with adequate lead time for each material category.
Follow up with vendors on delivery schedules for approved POs; escalate delays that threaten the look-ahead plan.
Maintain site-level material stock and consumption records; flag shortfalls before they affect execution.
Coordinate with the Site Engineer/Supervisor to confirm quantities and specifications before raising indents.
Inspect incoming material for quantity and quality against PO/delivery challan, and record discrepancies.
Maintain local vendor contacts for emergency/small-value purchases within petty DOA limits.
Update the Procurement Tracker with site-level status (received, pending, short) on a daily/weekly basis.

Project Coordination

Circulate the Weekly Look-Ahead Plan and Daily Progress Report (DPR) for the site.
Consolidate site inputs into the PMO Weekly System dashboard, flagging amber/red items for the COO.
Track RFI and drawing-issue status between design and the site team, following up on open queries.
Track approvals through the DOA Matrix and log Variation/Change Order Forms as they arise.
Monitor statutory approval status (OC/NOC and related trackers) relevant to the project stage.
Schedule weekly site/coordination meetings, record and circulate Minutes of Meeting, and follow up on action items to closure.

Shared / Administrative

Maintain all procurement and project files per the Official Project Filing System (MVP-SOP-001).
Act as the site's single point of contact for cross-functional queries between execution, design, procurement & accounts.

Qualifications & Experience

Diploma/B.E. in Civil Engineering.
4 - 8 years of experience spanning site procurement, store/material management, or project coordination in construction/real estate.
Familiarity with reading documents, interpretation and analysis of BOQs, material specifications, and basic quality checks.

Skills

Good working knowledge of Excel for indent tracking, Rate Analysis and comparitive statements, stock records, and status dashboards.
Strong follow-up discipline across vendors, design, and site teams.
Ability to read drawings/BOQs to verify material requirements and track RFIs.
Clear, accurate documentation habits — MOMs, trackers, filing.
Comfortable owning two functions without either slipping — this role only works if procurement and coordination are given equal attention.

Key Performance Indicators

Material shortfall incidents causing activity delay.
Indent lead time vs. activity start date on the look-ahead plan.
Timeliness and accuracy of Weekly Look-Ahead/DPR submission.
RFI/approval turnaround tracking and meeting action-item closure rate.
Documentation and filing completeness per MVP-SOP-001.

Note on Scaling

This is a combined role appropriate to current site scale/volume. If site count, procurement value, or documentation load grows to a point where either function is being shortchanged, the role can be split back into a dedicated Procurement Engineer and a dedicated Project Coordinator — Civil (job descriptions for both already exist on file).

Pay: ₹40,000.00 - ₹60,000.00 per month
