Industry IT Hardware: – National & International Sales (Computer Peripherals & Accessories)

Experience: 3–5 years

Employment Type: Full-Time

Department: Director's Office / Operations & Coordination

Working Days: Monday to Saturday

Working Hours: 10 AM to 7 PM

Matrix Info Systems Pvt. Ltd. is an IT hardware company dealing in computer peripherals, and accessories, with a strong presence across India and international markets.

About the Role

We are looking for an experienced Executive Assistant to the Director who can seamlessly manage both executive support and operational coordination.
This is not a purely administrative role — the person will act as a single point of coordination between the Director's office and various departments including Production, Sales, and Operations, ensuring smooth execution of the Director's schedule and cross-functional priorities.
Candidates with prior experience in the IT hardware / electronics / IT peripherals industry, especially in fast-paced, sales-driven B2B environments, will be preferred.

Key Responsibilities

Executive Support

Manage the Director's calendar, appointments, and daily schedule.
Arrange national and international meetings, documentation, and follow-ups.
Handle flight bookings, hotel reservations, and complete domestic and international travel itineraries.
Draft, proofread, and manage correspondence, reports, and presentations on behalf of the Director.

Operational Coordination

Coordinate with Production, Sales, Operations, and other departments to track deliverables and follow up on action items on the Director's behalf.
Support production management coordination by liaising between departments to ensure timelines are met.
Plan and execute internal and external events such as client meetings, conferences, team events, and dealer/distributor meets.
Maintain MIS and trackers for ongoing projects, approvals, and pending action items.

General

Maintain confidentiality of sensitive business and strategic information.
Prepare meeting agendas and minutes, and ensure timely circulation and follow-up.
Handle ad-hoc administrative and operational tasks as required by the Director's office.

Requirements

Must Have

Proven experience as an Executive Assistant / Executive Coordinator supporting senior leadership at Director level.
Strong experience in domestic and international travel and visa documentation coordination.
Excellent written and verbal communication skills in English and Hindi.
Strong MS Office skills, including Excel, PowerPoint, and Outlook.
Ability to multitask and coordinate with multiple departments simultaneously.

Good to Have

Prior experience in the IT hardware / electronics / IT peripherals industry.
Experience with event planning and execution, including corporate events, dealer meets, and exhibitions.
Exposure to production or operations coordination in a manufacturing or trading setup.

Qualification

Graduate / Postgraduate in any stream; a background in Business Administration is preferred.
