Job Description : Executive Assistant to the Director

About the Role

We are looking for a sharp, tech-savvy, and highly professional Executive Assistant to support the Director. The ideal candidate will be someone who can manage the Director's calendar and priorities, represent the Director confidently in internal and external interactions, and is comfortable working with modern productivity, AI, and presentation tools. This role requires excellent communication skills, strong judgment, and the ability to operate independently in a fast-paced environment.

Key Responsibilities

Manage and optimize the Director's calendar, including scheduling meetings, resolving conflicts, and prioritizing time based on business needs
Coordinate and organize internal and external meetings, appointments, and travel arrangements
Act as a point of contact and represent the Director professionally with internal teams, clients, and external stakeholders when required
Prepare, format, and refine PowerPoint presentations, reports, and briefing documents for meetings and reviews
Leverage AI tools and platforms (e.g., Claude, ChatGPT, or similar) to draft communications, summarize documents, research information, and improve day-to-day productivity
Screen and prioritize emails, calls, and requests on behalf of the Director
Draft, proofread, and edit correspondence, memos, and reports with a high degree of accuracy
Maintain confidentiality of sensitive information and exercise sound judgment in handling business matters
Coordinate cross-functionally with other departments to follow up on action items and deadlines
Stay updated on relevant technology, tools, and platforms that can improve efficiency and productivity
Handle ad hoc administrative and project-based tasks as assigned

Client & On-Site Coordination

Travel regularly with the Director to attend client meetings and business discussions
Act as the primary point of communication between clients and on-site team members
Ensure a clear understanding of client requirements and effectively communicate them to the team
Collect daily/weekly task updates from on-site team members and report progress to management
Prepare MOM (Minutes of Meeting) and maintain accurate records of discussions, action points, and deadlines
Monitor task execution and follow up to ensure timely completion
Address and resolve communication gaps between the client and internal teams
Assist in conducting site audits and ensure compliance with company and client standards
Maintain professional client relationships and ensure high levels of service satisfaction
Provide regular performance and status reports to the Director
Conduct and prepare audit reports, highlight gaps, and recommend corrective actions

Required Skills & Qualifications

Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership
Strong working knowledge of calendar management tools (Google Calendar, Outlook, or similar)
Practical, hands-on experience using AI platforms and tools for productivity, research, and communication
Advanced proficiency in Microsoft PowerPoint; strong working knowledge of Word and Excel
Comfortable and quick to adapt to new technology and digital tools
Excellent verbal and written communication skills, with the ability to represent the Director professionally
Strong organizational skills with the ability to multitask and prioritize effectively
High level of discretion and ability to handle confidential information
Smart, proactive, and solution-oriented approach to problem-solving
Professional demeanor with strong interpersonal skills
Willingness and flexibility to travel regularly with the Director for client meetings and site visits
Strong client-facing communication skills with the ability to manage expectations between clients and internal teams
Experience preparing MOM, status reports, and audit/compliance documentation

Preferred Qualifications

Bachelor's degree in Business Administration, Communications, or related field
Good expereince with the HR tools and knowledge.

Pay: ₹30,000.00 - ₹35,000.00 per month
