Location: Chennai (and Greater Chennai region) ONLY
- Outstation candidates need not apply

Work Mode: Hybrid (Remote with in-person meetings as required)
Experience: 3–7+ Years

About the Role

We're looking for an exceptional Executive Operations Manager to work directly with the Founder across multiple businesses and client engagements.

This is not a conventional Executive Assistant role. We're looking for someone who enjoys taking ownership, thrives in a fast-paced environment and can independently keep projects, people and communication moving without constant supervision.

Key Responsibilities

Client Coordination

Serve as the primary point of contact for day-to-day client communication where appropriate.
Coordinate client feedback and ensure it is documented, communicated and acted upon promptly.
Follow up on pending approvals, deliverables and timelines.
Schedule client meetings and ensure all stakeholders are prepared.
Maintain professional, prompt and courteous communication at all times.

Project & Team Coordination

Coordinate seamlessly between the Founder and internal/external teams, including designers, writers, editors, developers, freelancers and vendors.
Track multiple projects simultaneously and ensure deadlines are met.
Monitor progress across all workstreams and proactively resolve bottlenecks.
Ensure smooth communication between all stakeholders and keep projects moving without unnecessary delays.

Executive Support

Manage the Founder's calendar across multiple businesses and client engagements.
Plan and organise daily, weekly and monthly work schedules.
Prioritise meetings, deliverables and commitments effectively.
Coordinate appointments, reviews and internal discussions.
Help maximise the Founder's productivity by ensuring operational matters are efficiently managed.

Communication Management

Draft professional emails, client correspondence and business communication on behalf of the Founder.
Ensure timely responses and consistent follow-ups.
Prepare meeting agendas, notes and action items.
Maintain a high standard of written communication and documentation.

Project Tracking & Administration

Maintain project trackers, task lists and status reports.
Monitor deadlines and ensure deliverables stay on schedule.
Follow up consistently with team members and external stakeholders.
Organise documentation, files and project records for easy accessibility.
Provide regular updates on project status and outstanding actions.

Operational Excellence

Build and improve systems that enhance efficiency and execution.
Take ownership of recurring operational and administrative processes.
Identify opportunities to streamline workflows and improve coordination.
Exercise sound judgement while working independently.
Keep work moving efficiently, even when the Founder is unavailable.

Skills & Qualifications Essential

3–7+ years of experience in Executive Assistance, Operations, Project Coordination, Account Management or a similar role.
Outstanding organisational and time management skills.
Excellent written and verbal communication in English.
Working fluency in Hindi for effective coordination with team members, vendors and stakeholders across different regions.
Strong follow-up and stakeholder management skills.
High attention to detail and documentation.
Ability to manage multiple priorities simultaneously.
Excellent problem-solving and decision-making abilities.
Comfortable handling confidential information.
Self-driven, dependable and capable of working with minimal supervision.

Preferred

Experience in an advertising agency, creative agency, consulting firm or founder-led business.
Familiarity with project management tools such as ClickUp, Asana, Notion, Trello or similar platforms.
Comfortable using Google Workspace, Microsoft Office and AI tools such as ChatGPT to improve productivity and communication.

Work Environment

This role supports multiple businesses, client accounts and creative projects simultaneously. Every day brings a different mix of priorities, making adaptability, communication and ownership essential.While much of the work can be performed remotely, we strongly prefer candidates based in or around Chennai

. The role is hybrid, with in-person meetings or office work required whenever necessary. During the initial onboarding period, more frequent in-person collaboration may be expected to ensure a smooth transition and build a strong working relationship.
