JOB DESCRIPTION – PURCHASE CUM ADMIN

Position: Purchase Cum Admin
Job Location: Bhiwandi, Maharashtra
Experience: 4–8 Years
Education: ITI / Diploma / Degree in Electrical, Electronics, Commerce, Administration or related field
Salary: ₹15,000 – ₹40,000 per month
Notice Period: Immediate Joiners Preferred

Key Skills

· Inventory & Store Coordination

Required Skills

· Good knowledge of purchase and administrative processes.

· Proficiency in MS Excel, including formulas, data management and reporting.

· Effective email and telephone communication skills.

· Good vendor coordination and negotiation skills.

· Strong organizational and time-management skills.

· Detail-oriented with good documentation skills.

· Ability to maintain purchase, stock and administrative records.

· Ability to coordinate with Accounts, Stores, Management and other departments.

· Knowledge of Tally ERP and purchase entries.

· Good communication and interpersonal skills.

Purchase & Vendor Management

· Identify and evaluate potential vendors and suppliers.

· Obtain quotations, compare prices and negotiate with vendors.

· Prepare Purchase Orders (POs) and maintain proper records.

· Follow up with vendors for timely delivery of materials.

· Maintain vendor database, quotations, purchase orders and invoices.

· Ensure materials received are as per approved quantity, quality and specifications.

· Develop and maintain good relationships with suppliers.

· Coordinate with Accounts regarding invoices, payments and purchase-related matters.

Store & Inventory Coordination

· Coordinate with the Store team for material inward and outward activities.

· Maintain accurate stock and inventory records.

· Monitor stock levels and coordinate for timely procurement.

· Maintain inward/outward registers and material documentation.

· Verify received materials against Purchase Orders and invoices.

· Support regular stock verification and audits.

· Ensure proper documentation of material movement.

Administrative Responsibilities

· Handle day-to-day administrative activities of the office/store.

· Maintain office records, files, documents and registers.

· Coordinate with internal departments for administrative requirements.

· Manage official correspondence, emails and telephone communication.

· Prepare daily/weekly/monthly administrative and purchase reports.

· Maintain records of office supplies, stationery and other requirements.

· Coordinate with management and employees for routine administrative activities.

· Ensure proper filing and documentation of purchase and administrative records.

· Assist in maintaining office/store discipline, cleanliness and proper functioning.

· Coordinate with service providers, vendors and other external parties as required.

Key Responsibilities

· Ensure smooth Purchase, Store and Administrative Operations.

· Maintain accurate records of purchases, inventory, vendors and expenses.

· Ensure timely procurement of required materials.

· Maintain proper documentation and compliance with company SOPs.

· Coordinate effectively between Purchase, Store, Accounts and Management.

· Monitor pending purchase orders and material deliveries.

· Support management in cost control and efficient procurement.

· Maintain confidentiality of company and vendor information.

Preferred Candidate Profile

The ideal candidate should have hands-on experience in Purchase, Store Coordination and Administration, with good knowledge of Tally, MS Excel, vendor management, documentation and inventory control. The candidate should be organized, responsible, proactive and capable of independently handling day-to-day purchase and administrative activities.
