Job Title: Personal & Executive Assistant – Remote/Hybrid

Location: Kolkata, West Bengal

Work Mode: Primarily work from home; occasional meetings/visits in Kolkata office as and when informed.

Job Type: Full-time

Working Days: Monday to Saturday

Experience: 1-3 years

Joining: Immediate or within 15 days

Job Description

We are looking for a responsible, organised and proactive Personal & Executive Assistant to support a construction business professional in managing business assignments, project follow-ups and personal/family-related responsibilities.

The role is primarily remote; however, the candidate must be based in Kolkata and should be available for occasional physical meetings, document collection or coordination work when required.

This is not merely a data-entry or clerical position. The selected candidate will be responsible for tracking assignments, following up with multiple people and ensuring that important professional and personal matters are completed within the required timelines.

Key Responsibilities

Business and Project Coordination

* Maintain a consolidated tracker of pending activities across multiple construction projects.

* Follow up with project managers, site engineers, accounts personnel, vendors, banks, consultants and other stakeholders.

* Track deadlines relating to letters, reports, drawings, quotations, bank guarantees, insurance policies and statutory submissions.

* Prepare daily priority lists and end-of-day status reports.

* Draft routine emails, letters, reminders and minutes of meetings.

* Organise project-wise digital files, correspondence and supporting documents.

* Coordinate meetings, appointments, travel arrangements and project visits.

* Record instructions and ensure that assigned tasks are followed through to completion.

Personal and Family Coordination

* Maintain a confidential personal and family calendar.

* Manage reminders for appointments, renewals, payments, family commitments and important dates.

* Coordinate matters relating to the child’s school admissions, appointments, documents and activities.

* Follow up regarding household maintenance, service providers, quotations and repairs.

* Assist with travel bookings, reservations, documentation and personal errands that can be coordinated remotely.

* Handle all personal information with complete confidentiality and discretion.

Required Skills

* Strong organisational and follow-up abilities.

* Good written and spoken English and Hindi.

* Working knowledge of Microsoft Word, Excel, Google Sheets, email and WhatsApp.

* Ability to prepare trackers, professional emails and clear meeting notes.

* Comfortable speaking with senior officials, engineers, vendors and service providers.

* Ability to handle multiple assignments without losing track of deadlines.

* Responsible, punctual and responsive during working hours.

* High level of confidentiality and integrity.

* Must have a personal laptop/computer and reliable internet connection.

Preferred Profile

* Graduate in B.Com, BBA, BA or a related discipline.

* 0–3 years of experience as an Executive Assistant, Personal Assistant, Coordinator, Administrative Assistant or Back-Office Executive.

* Fresh graduates with exceptional communication and organisational skills may also apply.

* Previous experience in a construction, infrastructure, consultancy or project-based organisation will be an advantage.

Work Arrangement

* Primarily work from home with fixed working hours.

* Daily morning review call and regular coordination during working hours.

* Candidate must be based in Kolkata.

* Occasional attendance at meetings or visits within Kolkata may be required.

* Performance will be evaluated based on timely completion, follow-up quality, accuracy and maintenance of records.

Compensation

₹15,000–₹20,000 per month, depending upon experience, communication skills and performance in the selection test.

The selected candidate will initially be appointed on a three-month probation period.
