Export Documentation Executive / Officer

Job Overview

Samrat Plywood Limited is looking for an experienced Export Documentation professional to manage and coordinate all export and import documentation activities from the Head Office in Panchkula.

The ideal candidate must have strong, hands-on knowledge of the complete export documentation process, preferably gained in a manufacturing company. This is a purely desk-based documentation role, requiring accuracy, attention to detail and excellent coordination with internal departments, banks, freight forwarders, shipping lines, CHA/customs agents and international customers.

Key Roles & ResponsibilitiesExport Documentation

Prepare and verify complete export documentation for international shipments.
Prepare and coordinate Commercial Invoices, Packing Lists, Shipping Bills, Certificates of Origin, Bills of Lading, Airway Bills and other shipment-related documents.
Handle documentation related to LC, DP, DA, advance payment and other export payment terms.
Check export documents carefully for accuracy and compliance with customer, bank and regulatory requirements.
Coordinate with the production, sales, logistics and finance teams to ensure documents are prepared within shipment timelines.
Coordinate with CHA, freight forwarders, shipping lines and transporters for export documentation and shipment-related requirements.
Ensure timely submission of documents to banks and customers.
Handle amendments/corrections in export documents whenever required.
Maintain proper records of all export shipments and documentation.

Import Documentation

Handle and maintain documentation related to import shipments.
Verify import documents received from overseas suppliers.
Coordinate with CHA/customs agents, freight forwarders, shipping lines and internal teams for import clearance.
Maintain proper records of import Bills of Entry and supporting documents.
Coordinate with finance/accounts for import-related documentation and payments.

Banking & Compliance

Coordinate with banks regarding export documents, Letters of Credit, document negotiation/collection and payment-related documentation.
Ensure documentation complies with applicable export/import procedures and company requirements.
Maintain records required for export realization and related compliance.
Coordinate with the accounts/finance team for documentation required for export proceeds and reconciliation.
Ensure timely completion and filing of all relevant documentation.

Shipment Coordination

Track documentation status for each shipment from order confirmation to dispatch and document submission.
Coordinate with the logistics team to ensure documentation is aligned with shipment schedules.
Follow up with freight forwarders, CHA and shipping lines for shipping documents.
Ensure that original documents are dispatched to customers/banks within the required timelines.
Resolve documentation discrepancies quickly to avoid shipment delays or payment issues.

Candidate Requirements

Minimum 3 years of relevant experience in Export Documentation.
Experience in a manufacturing company is strongly preferred.
Candidate should have complete practical knowledge of export and import documentation, not merely theoretical knowledge.
Strong understanding of export shipping and documentation procedures.
Hands-on experience with LC, shipping documents, customs/CHA coordination and bank documentation.
Excellent knowledge of MS Excel, Word and standard office documentation systems.
Strong attention to detail and accuracy.
Good communication and coordination skills.
Ability to independently manage documentation for multiple shipments.
Should be organised, responsible and capable of working within strict shipment deadlines.

Important: Candidate Profile

This position is specifically for an Export Documentation professional.

Candidates whose primary experience is in sales, marketing, business development or general logistics but who do not have substantial hands-on export documentation experience should not apply.

The candidate should be capable of independently handling the complete export documentation cycle from order/shipment stage through documentation submission and closure.
