Job Requirements

We are looking for an energetic, highly organized and proactive Founder’s Office Executive / Executive Assistant who will work closely with our Founders and help them manage business coordination, follow-ups, meetings, office activities and external engagements.

This is not a conventional administrative role. The person will work directly with the founders and will get exposure to business development, recruitment, client management, operations and entrepreneurship.

Key Responsibilities1. Founder Support

Manage and coordinate the founders’ calendars, meetings and appointments.
Schedule, confirm and reschedule meetings as required.
Maintain a daily list of important meetings, calls, follow-ups and pending actions.
Prepare meeting notes and track action items.
Remind founders about important deadlines, commitments and follow-ups.
Support founders in day-to-day business coordination.

2. Calls & Follow-ups

Make professional calls to clients, prospects, vendors, candidates and other stakeholders.
Follow up on meetings, proposals, requirements, payments and pending actions.
Maintain a structured follow-up tracker.
Ensure important follow-ups are not missed.
Escalate important or delayed matters to the founders.

3. Business Development Support

Assist founders in scheduling client/prospect meetings.
Conduct initial outreach and follow-ups when required.
Maintain lead and prospect information.
Coordinate demos, business meetings and discussions.
Assist with preparation of basic business presentations and documents.

4. Office Coordination

Keep track of important day-to-day office activities.
Coordinate with team members and Team Leads on pending activities.
Follow up on internal deadlines and reports.
Identify operational issues and bring them to the founders’ attention.
Assist with office-related coordination and administration.

5. Team Coordination

Follow up with recruiters and Team Leads regarding assigned tasks.
Maintain basic task/status trackers.
Help ensure important internal deadlines are met.
Coordinate meetings and internal discussions.
Maintain confidentiality regarding employee and business information.

6. Events & External Meetings

Accompany founders to selected client meetings, networking events and business events.
Assist with registrations and event coordination.
Help collect business cards/contact information and potential leads.
Maintain event follow-up information.
Represent Hiringlabs professionally when accompanying founders.

7. Documentation & Reporting

Prepare basic Excel/Google Sheets trackers.

Prepare meeting summaries and follow-up lists.

Assist with presentations, reports and business documents.
Maintain organized digital records.
Prepare daily/weekly status updates when required.
