Project Coordinator – Projects, Tenders & Institutional Coordination

Position: Project Coordinator
Number of Positions: 4
Preferred Age: 35–40 years and above
Experience: 5+ years preferred
Location: Guwahati, Assam
Employment Type: Full-time

Job Overview

We are looking for experienced and responsible Project Coordinators to manage and coordinate the successful execution of the Academy's projects, institutional assignments and tender-related activities.

The candidate will act as a key coordination point between management, Government departments, educational institutions, corporates, project partners, vendors and internal teams. The role requires strong organizational skills, documentation capabilities, follow-up skills and the ability to manage multiple activities simultaneously.

The ideal candidate should be mature, professional and capable of independently handling projects from planning and documentation through execution, reporting and closure.

Key Responsibilities

Coordinate and monitor the end-to-end execution of assigned projects.
Prepare project plans, schedules, task lists and execution timelines.
Coordinate with Government departments, educational institutions, corporates, NGOs, project partners and other stakeholders.
Maintain regular communication and follow-up with clients, partners and concerned authorities.
Assist in tender-related activities, including studying tender requirements, preparing documents, coordinating submissions and tracking deadlines.
Ensure that project activities are carried out according to the agreed scope, timeline and requirements.
Coordinate with internal teams such as Administration, Marketing, Training, Finance and Operations for smooth project execution.
Prepare and maintain project-related documentation, reports, attendance records, progress reports, bills, supporting documents and other required records.
Track project milestones, deliverables and pending activities.
Identify delays, operational issues and project risks and escalate them to management in a timely manner.
Conduct and coordinate institutional visits, meetings, inspections and project-related field activities.
Coordinate logistics, manpower, materials, venues and other resources required for project execution.
Maintain proper records of meetings, discussions, commitments and follow-up actions.
Prepare regular MIS and project progress reports for management.
Assist management in preparing presentations, proposals, project reports and review documents.
Coordinate with vendors and service providers whenever required for project execution.
Ensure timely completion and submission of project-related documents to concerned stakeholders.
Support the management in developing and implementing new projects and institutional programs.
Travel for project visits, institutional meetings, Government office visits and field coordination, whenever required.
Perform any other project or coordination responsibilities assigned by the management.

Required Skills & Qualifications

Graduate degree in Management, Business Administration, Commerce, Arts or a related field.
7+ years of relevant experience in project coordination, administration, operations, institutional coordination or a similar position.
Candidates with experience in Government projects, tenders, education/training projects, CSR projects, institutional programs or corporate projects will be preferred.
Strong knowledge of project coordination and documentation.
Excellent communication and interpersonal skills.
Ability to communicate professionally in English and Hindi; Assamese will be an advantage.
Strong follow-up and stakeholder-management skills.
Good working knowledge of MS Excel, including data management, reporting, trackers and basic formulas.
Good working knowledge of MS PowerPoint for project presentations and reports.
Basic knowledge of Canva for preparing simple presentations, reports and visual materials will be an advantage.
Good email drafting and professional correspondence skills.
Strong organizational and time-management abilities.
Ability to manage multiple projects, deadlines and stakeholders simultaneously.
Willingness to undertake field visits and travel as required.

Preferred Candidate Profile

We are looking for experienced, mature and dependable professionals who can take ownership of assigned projects and ensure that work progresses without constant supervision.

Candidates who have previously worked with Government departments, educational institutions, PSUs, corporates, NGOs, skill-development organizations, training institutions or large project-based organizations will be given preference.

The candidate should be comfortable with both office-based documentation and field-based project coordination.
