Job Summary

The Front Desk Executive will be responsible for managing the reception area, welcoming clients and visitors, handling calls and enquiries, coordinating with internal departments, and providing professional front-office support. The candidate should maintain a polished and welcoming environment while ensuring smooth communication between clients, sales teams, management, and other departments.

Key Responsibilities:-

1. Reception & Visitor Management

Welcome and greet clients, customers, visitors, and business associates professionally.
Manage the reception area and ensure it remains clean, organized, and presentable.
Maintain visitor records and issue visitor passes wherever required.
Coordinate visitor appointments with the concerned team members.
Guide clients and visitors to the appropriate department or meeting area.

2. Client & Customer Handling

Handle walk-in enquiries related to properties, projects, site visits, and general company information.
Coordinate with the Sales/CRM team for property-related enquiries.
Register and maintain details of prospective customers and visitors.
Coordinate site visits and appointments with the sales team.
Provide basic information about ongoing projects, locations, amenities, and available services as authorized by the company.

3. Telephone & Communication

Handle incoming and outgoing calls professionally.
Transfer calls to the appropriate department or employee.
Take accurate messages and ensure timely communication.
Respond to basic customer queries and redirect technical or sales-related queries to the concerned team.
Manage official emails and front-desk correspondence.

4. Administrative Support

Maintain reception-related registers, records, and documents.
Handle incoming and outgoing courier, parcels, and documents.
Coordinate meeting-room bookings and appointments.
Assist the Admin/HR team with routine administrative work.
Maintain office stationery and front-office requirements.
Prepare basic reports and maintain daily visitor and enquiry records.

5. Sales Coordination

Coordinate with property sales executives regarding client visits and appointments.
Maintain records of walk-in customers and property enquiries.
Follow up with the concerned sales executive regarding client requirements.
Ensure that customers are properly attended to and directed to the relevant sales representative.
Support the sales team during property launches, exhibitions, events, and client meetings.

6. Office Coordination

Coordinate with housekeeping, security, maintenance, and other support staff.
Ensure that the reception and common areas are maintained professionally.
Inform the concerned department regarding maintenance or facility-related issues.
Support management and administrative staff with day-to-day coordination.

Required Skills & Competencies:-

Excellent communication and interpersonal skills.
Pleasant and professional personality.
Good telephone etiquette and customer-handling skills.
Strong organizational and multitasking abilities.
Basic knowledge of MS Office, Excel, and email communication.
Good follow-up and coordination skills.
Ability to handle clients and visitors professionally.
Good command of English and Hindi.
Ability to remain calm and courteous while handling difficult customers or situations.

Educational Qualification:-

Graduate in any discipline.
Diploma/Certificate in Front Office Management, Hospitality, or Administration will be an added advantage.

Experience:-

1–3 years of experience as a Front Desk Executive, Receptionist, Customer Relationship Executive, or similar role.
Experience in real estate, construction, property management, hospitality, or corporate offices will be preferred.

Key Performance Indicators (KPIs):-

Professional handling of clients and visitors.
Timely response to calls and enquiries.
Accuracy of visitor and customer records.
Effective coordination with the Sales and Admin teams.
Customer satisfaction.
Proper maintenance of reception and front-office operations.
Timely completion of assigned administrative tasks.

Pay: ₹19,159.88 - ₹21,064.17 per month
