Full job description

We are seeking a highly organized, experienced and proactive Executive Personal Assistant to provide direct support to a busy CEO. This is a remote position requiring availability during North American PST/EST business hours.

This role is best suited to someone who thrives in a fast-paced, high-expectation environment, works independently, and takes full ownership of assigned responsibilities without requiring constant follow-up.

Key Responsibilities

· Manage and coordinate Director's business and personal calendars, appointments, meetings and deadlines.

· Manage tasks independently, maintain action lists and ensure deadlines and commitments are followed through to completion.

· Prepare regular reports, summaries, trackers and status updates without needing to be asked.

· Liaise professionally with employees, clients, suppliers, professional advisers and other internal/external stakeholders by phone and email.

· Draft and proofread correspondence, reports, presentations and other documents.

· Conduct research, gather information and present findings clearly and concisely.

· Prepare for meetings, organize supporting information, take notes/minutes when required and follow up on action items.

· Maintain organized electronic files, records and confidential documentation.

· Assist with administrative, legal, corporate and personal matters as required.

· Handle highly confidential and sensitive business and personal information with absolute discretion.

· Proactively identify outstanding matters and follow up with relevant parties rather than waiting for instructions.

· Other tasks as assigned.

Requirements

· Minimum 3 years of executive assistant, personal assistant, secretarial or similar experience, preferably supporting senior executives in a fast-paced environment.

· Advanced Microsoft Office skills are mandatory, particularly Outlook, Excel, Word and PowerPoint.

· Advanced Outlook skills, particularly complex calendar and meeting management.

· Advanced Excel skills, including formulas, pivot tables, charts/diagrams, data analysis and report preparation.

· Excellent written and spoken English and strong professional communication skills.

· Exceptionally organized, detail-oriented and data-driven.

· Experience in Freight forwarding industry or a degree in international trade is preferred.

· Strong reporting, research and information-management skills.

· Ability to prioritize multiple competing deadlines and distinguish urgent matters from less important tasks.

· Ability to work independently with minimal supervision and provide regular progress/status reports.

· Strong judgment, problem-solving skills and ability to take initiative.

· Reliable and comfortable working remotely during PST/EST hours/night shift, depending on the candidate's location.

· High level of integrity and discretion when handling confidential information.

Preferred Qualifications

Candidates with a business, legal, paralegal or related university/college qualification, legal-secretarial experience, law-firm experience, or freight forwarding/logistics experience will be strongly preferred.

Pay: ₹95,238.00 - ₹128,571.00 per month
