B2B Purchase Portal & MIS Executive Department:

Commercial & Operations Role: B2B Purchase Portal & MIS Executive

Key Responsibilities

Independently handle the day-to-day functioning of the B2B Purchase Portal. Regularly monitor the portal for new requirements, available quantities, product availability and order status. Create and process purchase orders through the B2B portal as per management instructions. Monitor order acceptance, confirmation and allocation status on the portal. Track material allocation against each order and maintain an updated allocation MIS. Monitor plant/location-wise availability and allocation of material. Track the complete status of each order from order placement to material dispatch. Maintain a detailed order-wise and plant-wise purchase MIS. Track pending, partially allocated, fully allocated and dispatched orders separately. Monitor daily dispatches through the portal and update the internal dispatch tracker. Track quantity ordered vs. quantity allocated vs. quantity dispatched vs. quantity pending. Maintain product/category/grade-wise purchase data, wherever applicable. Regularly check the portal for changes in order status, allocation, dispatch schedules or other updates. Ensure all orders and portal transactions are properly recorded and updated in the internal MIS. Download and maintain relevant order confirmations, dispatch details, reports and other portal-generated documents. Coordinate with the concerned supplier/company representatives for portal-related queries, allocation issues, order status and dispatch-related matters. Follow up for pending allocations and delayed dispatches. Identify any discrepancy between the order placed and the material allocated/dispatched and coordinate for resolution. Maintain historical data of orders, allocations and dispatches for management analysis. Prepare daily, weekly and monthly B2B Portal MIS for management. Highlight important exceptions such as pending orders, unallocated quantities, partial allocations and delayed dispatches. Ensure that the portal is checked regularly throughout the working day and all significant updates are communicated to the concerned team.

Daily B2B Portal MIS

The executive will be responsible for maintaining and reporting: Orders Placed | Order Quantity | Material Allocated | Allocation Pending | Material Dispatched | Dispatch Pending | Plant/Location | Order Status | Pending Orders Key Skills Required Strong working knowledge of MS Excel, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS, filters and data management. Comfortable working extensively on B2B purchase/procurement portals. Good understanding of the purchase order, allocation and dispatch cycle. Ability to handle and analyse large volumes of order and dispatch data. Strong follow-up and coordination skills. Ability to identify discrepancies and pending matters without constant supervision. High level of accuracy, attention to detail and data discipline. Ability to prepare clear and concise MIS for management review.

Qualification & Experience Graduate / B.Com / M.Com or equivalent qualification. 2-4 years of experience in B2B portal operations, purchase operations, commercial operations or MIS preferred. Experience in steel, manufacturing, distribution or trading businesses will be an added advantage. Previous experience of independently handling a large B2B purchase/procurement portal will be preferred. Salary-15k to 25k (based on the interview)

Preferred Candidate A hands-on and detail-oriented person who can independently manage the complete B2B Purchase Portal, continuously track orders, allocations and dispatches, maintain accurate MIS and proactively highlight pending or delayed matters to management

Pay: ₹15,000.00 - ₹25,000.00 per month
