Job Summary

We are looking for a professional, well-presented, and organized Front Desk Officer / Receptionist to manage front office operations and serve as the first point of contact for visitors, clients, partners, and internal teams. The ideal candidate should possess excellent communication skills, a welcoming personality, and the ability to multitask efficiently in a fast-paced media and aviation environment.

The role requires strong coordination abilities, professional etiquette, and the capability to handle administrative and reception responsibilities smoothly.

Key Roles & Responsibilities Front Desk Management

Handle front office and reception area operations professionally.
Welcome and assist guests, clients, celebrities, corporate partners, and visitors.
Manage incoming calls, emails, couriers, and inquiries efficiently.
Maintain visitor records and coordinate meeting room schedules.
Ensure the reception and waiting area remain organized and presentable at all times.

Administrative Coordination

Coordinate internal communication between departments and management.
Assist in scheduling meetings, appointments, and travel coordination.
Maintain office supplies inventory and coordinate vendor requirements.
Support HR and administration teams with daily operational tasks.
Handle courier dispatches, document tracking, and office correspondence.

Client & Guest Coordination

Assist during media events, launches, corporate meetings, and aviation client visits.
Coordinate hospitality arrangements for VIP guests and partners.
Provide professional assistance to visitors and external stakeholders.
Manage guest check-ins and ensure smooth coordination with concerned teams.

Office Operations Support

Maintain records of incoming and outgoing documents and shipments.
Coordinate with housekeeping, security, and facility management teams.
Assist management with basic reporting and data entry tasks.
Support smooth day-to-day office operations across departments.

Communication & Professional Etiquette

Handle all interactions with professionalism and confidentiality.
Maintain proper phone etiquette and corporate communication standards.
Ensure timely follow-ups and coordination with teams and vendors.

Required Skills

Excellent verbal and written communication skills.
Professional appearance and pleasant personality.
Strong multitasking and organizational abilities.
Good knowledge of MS Office, email handling, and scheduling tools.
Ability to work in a fast-paced corporate environment.
Strong interpersonal and coordination skills.
Attention to detail and problem-solving abilities.

Preferred Qualifications

Bachelor’s Degree in any discipline.
Prior experience in reception, administration, hospitality, media, aviation, or corporate front office operations preferred.
Knowledge of corporate etiquette and client handling will be an added advantage.
