Admin Manager – Academy Operations & Coordination

Position: Admin Manager
Experience: 5+ years preferred
Location: Guwahati, Assam
Employment Type: Full-time

Job Overview

We are looking for an experienced and proactive Admin Manager to oversee the overall administrative coordination and external liaison activities of the Academy. The candidate will be responsible for coordinating with Government departments, public-sector organizations, corporate entities including Adani, vendors, institutions, and other external stakeholders, while ensuring smooth day-to-day administrative operations.

The ideal candidate should have strong communication, coordination, documentation, and follow-up skills, along with the ability to independently handle official work, proposals, tenders, and institutional requirements.

Key Responsibilities

Manage and coordinate the overall administrative activities of the Academy.
Coordinate and maintain professional relationships with Government departments, Government officials, PSUs, corporates, Adani Group and other organizations.
Handle official correspondence, documentation, applications, proposals, letters, reports and other administrative paperwork.
Coordinate tender-related activities, including collection of tender information, documentation, submission requirements, follow-ups and maintaining tender records.
Coordinate with internal departments to ensure timely completion of requirements related to projects, tenders and institutional assignments.
Handle institutional and government-related visits, meetings and official communications.
Prepare and maintain administrative reports, MIS and documentation.
Track important deadlines, submissions, approvals, renewals and follow-ups.
Coordinate with vendors, service providers and external agencies whenever required.
Support management in project coordination, institutional partnerships and new business opportunities.
Maintain organized records of official documents, contracts, tenders, correspondence and agreements.
Ensure smooth coordination between management, staff and external stakeholders.
Represent the Academy professionally during meetings, visits and official interactions.
Take responsibility for assigned administrative projects and ensure timely execution.
Perform any other administrative or coordination responsibilities assigned by the management.

Required Skills & Qualifications

Graduate degree in Business Administration, Management, Commerce, Arts or a related field.
5+ years of relevant experience in administration, institutional coordination, government liaison, project coordination or a similar role.
Strong understanding of administrative processes and official documentation.
Experience in dealing with Government departments, PSUs, corporates, tenders or institutional clients will be highly preferred.
Strong communication, negotiation and relationship-management skills.
Good command of English and Hindi; Assamese will be an added advantage.
Advanced working knowledge of MS Excel for MIS, reports, data management and tracking.
Good working knowledge of MS PowerPoint for presentations and official reports.
Basic to intermediate knowledge of Canva will be an advantage.
Strong email and internet research skills.
Excellent follow-up, coordination and time-management abilities.
Ability to work independently and handle multiple responsibilities simultaneously.
Should be willing to travel locally for official meetings, institutional visits, Government offices and other external coordination work, whenever required.

Preferred Candidate Profile

We are looking for someone who is mature, responsible, well-connected, professional and confident in dealing with external stakeholders. The candidate should be comfortable taking ownership of assignments rather than waiting for detailed instructions.

Experience in education/training institutions, skill-development organizations, government projects, CSR projects, corporate relations, tender management or institutional business development will be an added advantage.

Pay: ₹25,000.00 - ₹40,000.00 per month
