Full job description

Department: Finance & Accounts
Experience: 2–5 Years
Location: Indiranagar, Bangalore
Employment Type: Full-Time
Reporting To: Finance Manager / Head of Finance

About the Role

We are looking for a detail-oriented and organized Finance & Accounts Executive to manage day-to-day accounting and finance operations. The ideal candidate should have hands-on experience with Tally Prime, accounting entries, invoicing, bank reconciliation, vendor management, payments, and client reconciliation.

The candidate should possess strong attention to detail, good numerical ability, and excellent email etiquette and professional communication skills.

Key Responsibilities1. Accounting & Tally Prime

· Handle day-to-day accounting activities using Tally Prime.

· Record and maintain accurate accounting entries, including receipts, payments, journal entries, sales, and purchases.

· Maintain ledgers and ensure books of accounts are updated regularly.

· Perform proper accounting and documentation of financial transactions.

· Assist in maintaining accurate and up-to-date financial records.

· Ensure all transactions are recorded in the appropriate accounts and cost centres.

2. Sales Invoicing

· Prepare and issue sales invoices accurately and on time.

· Verify client details, billing information, GST details, amounts, and applicable taxes before raising invoices.

· Maintain proper records of all sales invoices.

· Coordinate with the Sales/Operations/Client Servicing teams for billing requirements.

· Follow up on pending or incorrect billing information.

3. Purchase Invoicing

· Process and record purchase invoices in Tally Prime.

· Verify vendor invoices against purchase orders, approvals, and supporting documents.

· Check invoice accuracy, GST details, quantities, rates, and applicable taxes.

· Maintain proper documentation and records of purchase invoices.

· Coordinate with vendors and internal teams regarding invoice discrepancies.

4. Bank Reconciliation

· Perform Bank Reconciliation Statements (BRS) on a regular basis.

· Match bank transactions with accounting records in Tally Prime.

· Identify and resolve discrepancies, missing entries, and unidentified transactions.

· Ensure bank balances in the books are reconciled with bank statements.

5. Vendor Management

· Maintain accurate vendor records and ledgers.

· Coordinate with vendors regarding invoices, statements, payment status, and discrepancies.

· Verify vendor outstanding balances and supporting documents.

· Maintain proper documentation related to vendors.

· Develop professional and timely communication with vendors.

6. Vendor Payments

· Prepare vendor payment schedules based on due dates and approved invoices.

· Verify invoices and approvals before processing payments.

· Coordinate with the Finance Manager/authorized personnel for payment approvals.

· Maintain records of all vendor payments.

· Follow up with vendors regarding payment confirmations and outstanding matters.

7. Client Reconciliation & Receivables

· Perform regular client ledger reconciliation.

· Reconcile client statements with company books and identify discrepancies.

· Track outstanding receivables and follow up for pending payments.

· Coordinate with the Sales/Client Servicing teams for payment follow-ups.

· Ensure timely allocation and recording of client receipts.

· Prepare and share outstanding reports as required.

8. Documentation & Reporting

· Maintain proper records of invoices, receipts, payments, bank statements, and other financial documents.

· Assist in preparing periodic financial and MIS reports.

· Maintain organized documentation for audit and compliance purposes.

· Support the Finance Manager in month-end and year-end closing activities.

9. Email Etiquette & Professional Communication

· Handle finance-related communication with clients, vendors, and internal teams professionally.

· Draft clear, concise, and grammatically correct emails.

· Follow proper email etiquette, including appropriate subject lines, greetings, tone, formatting, and professional sign-offs.

· Respond to finance-related queries promptly and professionally.

· Maintain confidentiality while communicating financial and client/vendor information.

Required Skills

· Strong hands-on knowledge of Tally Prime.

· Good understanding of accounting principles and bookkeeping.

· Experience with Sales Invoicing & Purchase Invoicing.

· Strong knowledge of Bank Reconciliation.

· Experience in Vendor Management & Vendor Payments.

· Experience in Client/Customer Reconciliation and Receivables.

· Good knowledge of GST and basic taxation concepts.

· Strong attention to detail and accuracy.

· Good MS Excel skills.

· Excellent written and verbal communication skills.

· Strong professional email etiquette.

· Ability to manage multiple tasks and meet deadlines.

Qualifications

· Bachelor’s degree in Commerce, Accounting, Finance, or a related field.

· B.Com/M.Com/CA Inter or equivalent qualification will be an added advantage.

· 2–5 years of relevant experience in Finance & Accounts.

· Candidates with strong hands-on experience in Tally Prime and accountingoperations will be preferred.
