Full job description

Key Responsibilities:
(Note: This job role requires employee to work from office and working remotely/ from home will not be permissible)
a) Employee Onboarding & Orientation
1. Manage end-to-end pre-onboarding & onboarding activities, including document collection, offer-related documentation, employee communication, and joining formalities. 2. Ensure a seamless pre-onboarding & onboarding experience, & post onboarding support to new hires, ensuring smooth integration into the organization. 3. Preparing and distributing onboarding welcome kits. 4. Coordinate induction and orientation programs for new employees. 5. Auditing data and setting up employee profiles in internal HR systems; assisting with the coordination, preparation, and distribution of employee documentation. 6. Create and maintain employee personnel files and records in Zoho People HRMS. 7. Work closely with internal stakeholders including BU heads, team leads, HRBPs, Admin and IT, to ensure smooth onboarding experience.

8. Handle high-volume employee onboarding and joining formalities.

9. Strong experience in bulk data upload and employee data management on Zoho People .

b) Documentation & HR Administration
1. Prepare and maintain employment letters, confirmation letters, experience letters, and other HR documents. 2. Manage employee records and statutory documentation. 3. Conduct regular audits of employee files and HR databases. 4. Ensure all HR documents are updated and filed appropriately. 5. Evaluate trends, best practices, and emerging technologies to improve documentation process.
c) Payroll Coordination
1. Coordinate with the payroll team/vendor for monthly payroll inputs. 2. Validate attendance, leave data, incentives, deductions, and employee changes for payroll processing. 3. Resolve employee payroll-related queries in coordination with relevant stakeholders. 4. Support statutory compliance documentation related to payroll processes.
d) HR Compliance & Process Management
1. Support compliance with labor laws and statutory requirements. 2. Maintain records related to employee compliance documentation. 3. Assist in HR audits and compliance reviews. 4. Ensure adherence to company policies, HR SOPs, and best practices.
e) Employee Exit Management
1. Manage end-to-end employee separation and exit formalities. 2. Coordinate completion of clearance processes and documentation. 3. Conduct exit interviews and maintain exit-related records. 4. Ensure timely issuance of relieving, experience, and full & final settlement documents.
f) Background Verification & Employment Screening
1. Coordinate end-to-end employee background verification processes. 2. Validate employment history, educational qualifications, identity proof, address proof, and other required documents. 3. Track verification progress and ensure timely closure before or after employee onboarding as per company policy. 4. Review verification reports and escalate discrepancies, exceptions, or adverse findings to relevant stakeholders. 5. Maintain accurate records of background verification reports and ensure compliance with data privacy and confidentiality requirements. 6. Support decision-making by providing verification status updates and compliance reports to management.

4. Knowledge of labor laws and HR compliance requirements is a plus.
