Legal Operations Manager

Location: Kochi, Kerala
Salary: ₹25,000 – ₹35,000 per month

HA&Co. is a rapidly growing legal, corporate, and cross-border advisory firm with operations across India and international jurisdictions. The firm handles matters before the High Court, District Courts, Tribunals, Regulatory Authorities, Investigation Agencies, and various Government Departments.

Our practice areas include Litigation & Dispute Resolution, Corporate & Commercial Laws, Banking & Financial Matters, Cyber & Technology Laws, White-Collar Crimes, Intellectual Property, Regulatory Compliance, Cross-Border Advisory, and Emerging Technologies.

We are looking for a highly organized, proactive, and execution-focused Legal Operations Manager to oversee the day-to-day movement of cases, litigation workflow management, court coordination, deadline tracking, and operational efficiency of our litigation team.

Role Overview:

The Legal Operations Manager will be responsible for ensuring smooth and timely movement of all litigation matters from client intake to final closure. The role requires strong coordination with advocates, litigation teams, filing clerks, court offices, clients, and management to ensure that no matter suffers delay due to operational gaps.

The ideal candidate should possess excellent legal administration skills, strong follow-up abilities, attention to detail, and the capability to manage multiple cases simultaneously under strict timelines.

Key Responsibilities:

Case Lifecycle Management

Maintain complete operational control over matters from intake to final closure.
Track every stage of litigation including intake, framing, drafting, filing, listing, hearings, disposal, execution, and post-litigation processes.
Ensure smooth movement of cases through all litigation stages without delay.
Maintain accurate case status records and workflow updates.

Litigation Tracking & Monitoring

Monitor pending, sub-pending, urgent, and critical matters across all practice areas.
Track filing deadlines, limitation periods, court directions, compliance requirements, and procedural timelines.
Ensure zero delay in filing petitions, applications, affidavits, written statements, appeals, and supporting documents.
Monitor daily case progress and ensure timely completion of assigned tasks.

Associate & Litigation Team Coordination

Coordinate directly with advocates and associates regarding drafting readiness, documentation requirements, and filing schedules.
Verify daily court updates received from individual advocates and associates.
Monitor daily workflow of litigation teams and ensure completion of assigned responsibilities.
Coordinate closely with the Litigation Head regarding case movement, workload allocation, and critical matters.

Court & Filing Coordination

Coordinate with filing clerks, court offices, registry sections, copy application sections, and related departments through the assigned advocate or authorized channels.
Monitor case listings, posting dates, hearing schedules, adjournments, and disposal updates.
Ensure all documents are properly prepared and filed before court deadlines.
Coordinate urgent filings, interim applications, and time-sensitive court requirements.

Reporting & Management Information Systems

Prepare and maintain daily case tracking reports.
Prepare weekly litigation progress reports.
Develop structured monthly case status summaries for management review.
Prepare periodic client-facing case progress updates and status reports.
Generate litigation dashboards and monitoring sheets.

Planning & Workflow Management

Prepare advance weekly litigation work plans every Saturday for the upcoming week.
Maintain litigation calendars and task schedules.
Identify delays, workflow bottlenecks, operational gaps, and risk-sensitive matters proactively.
Implement systems to improve efficiency and accountability.

Risk & Compliance Monitoring

Ensure strict adherence to court timelines and procedural requirements.
Escalate urgent and critical matters to the Litigation Head immediately.
Monitor compliance with court directions, filing obligations, and litigation schedules.
Ensure disciplined case movement and documentation standards across the firm.

Post-Litigation & Execution Support

Track judgments, orders, execution proceedings, recovery actions, and compliance requirements.
Monitor post-disposal follow-ups and implementation of court orders.
Coordinate execution petitions, recovery proceedings, and closure documentation.

Required Qualifications

LL.B. preferred (mandatory legal background preferred).
2+ years of experience in litigation management, legal operations, court practice, or law firm administration.
Strong understanding of court procedures and litigation workflows.
Excellent coordination, communication, and follow-up skills.
Ability to handle multiple matters simultaneously.
Strong organizational and reporting abilities.
Proficiency in Microsoft Office, Google Workspace, case management systems, and legal documentation.
Ability to work under deadlines and manage high-volume litigation operations.

Preferred Candidate Profile

Experience working in a law firm, litigation chamber, legal department, or legal process management role.
Strong leadership and team coordination abilities.
Highly disciplined, proactive, and execution-oriented.
Comfortable working in a fast-paced litigation environment.
Immediate joiners will be given preference.

Compensation & Benefits

Salary: ₹25,000 – ₹35,000 per month (based on experience and capability).
