Executive Assistant to Director – Factory

Location: Churchgate,Mumbai
Department: Management / Factory Operations
Experience: 3–6 Years
Employment Type: Full-time

Job Summary

We are looking for a proactive, organised and highly responsible Executive Assistant to the Director to be based at our HO. The role will involve working closely with the Director and coordinating with various factory departments and HODs to ensure smooth execution of day-to-day activities, timely follow-ups, reporting and closure of management requirements.

The ideal candidate should have excellent communication and coordination skills, strong follow-up ability, good knowledge of MS Excel and the maturity to handle confidential information.

Key Responsibilities

Act as the primary coordination point between the Director and various factory departments.
Manage the Director’s daily schedule, meetings, appointments and important follow-ups.
Coordinate with Production, Quality, Maintenance, Stores, Warehouse, Purchase, Accounts, HR and other departments.
Prepare and maintain daily/weekly/monthly MIS reports as required by the Director.
Track pending tasks, commitments and action points assigned by the Director and ensure timely closure.
Prepare meeting agendas, MOMs and follow up on action items.
Collect operational and departmental data and present it to the Director in a structured manner.
Monitor key factory activities and highlight delays, operational issues or critical matters to management.
Coordinate with vendors, contractors, consultants and external stakeholders on behalf of the Director wherever required.
Assist in preparing presentations, reports, dashboards and management summaries.
Maintain important documents, records, correspondence and confidential information.
Draft emails, letters, notices and other official communication as required.
Coordinate factory visits, management meetings and external meetings.
Follow up with concerned teams for statutory, compliance, operational and administrative requirements as directed by the Director.
Maintain confidentiality regarding company, employee, financial and business information.
Handle any additional responsibilities or special projects assigned by the Director.

Required Skills

Excellent verbal and written communication skills.
Strong follow-up and coordination skills.
Excellent organisational and time-management abilities.
Good command of MS Excel, Word and PowerPoint.
Ability to prepare MIS and management reports.
Strong attention to detail.
Ability to multitask and work under pressure.
Good interpersonal skills and ability to coordinate with senior management and factory teams.
High level of professionalism, confidentiality and ownership.
Should be proactive rather than waiting for instructions.

Preferred Candidate Profile

Graduate in any discipline; MBA/PG qualification will be an advantage.
6–8 years of experience as an Executive Assistant, Management Executive, Executive Coordinator, Factory Coordinator or similar role.
Candidates with experience in FMCG, food, manufacturing or factory environments will be preferred.
Should be comfortable working from the factory location and coordinating with multiple departments.
Candidates with strong MIS and Excel skills will be preferred.

What We Are Looking For

We are looking for someone who can take ownership, follow through on instructions, keep the Director updated and ensure that important tasks do not remain pending. The person should be mature, dependable, highly organised and comfortable working in a fast-paced factory environment.

Pay: ₹720,000.00 - ₹840,000.00 per year
