Executive Assistant — Office of the Chief Operating Officer

The Ardee Group | Full-Time | Reports to: Chief Operating Officer

About the Role

The Ardee Group is looking for an Executive Assistant to support the Chief Operating Officer (COO). This is a high-trust, high-visibility role for someone who is organised, discreet, and calm under pressure, someone who can manage a demanding calendar, anticipate needs before they're voiced and keep the COO's day running smoothly so that no detail falls through the cracks.

You'll sit close to the centre of decision-making at Ardee, working alongside the COO Office team on everything from scheduling and correspondence to meeting preparation, travel and follow-through on action items. While this role is distinct from the Executive Associate position (which is more project and strategy facing), the two roles work in close partnership, and you'll often collaborate on the same initiatives from different angles.

Key Responsibilities

Own the COO's calendar end-to-end — scheduling, prioritising and resolving conflicts across internal and external meetings.
Prepare the COO for each day and each meeting: briefing notes, agendas, background reading and relevant documents, organised well in advance.
Manage correspondence on the COO's behalf, including drafting emails, tracking responses and following up on outstanding items.
Coordinate all travel logistics, itineraries, bookings, visas and on-the-ground arrangements for both domestic and international trips.
Take notes in key meetings, track action items and follow up with stakeholders to ensure timely closure.
Act as a point of contact between the COO and internal teams, school leaders and external stakeholders, handling communications with professionalism and discretion.
Maintain filing systems, trackers and records so that information is always easy to find and up to date.
Support the planning and logistics of events, offsites and leadership meetings hosted by the COO Office.
Handle sensitive and confidential information with the highest degree of judgement and integrity.
Step in on ad hoc projects and administrative needs as they arise, no task is considered too small.

Skills & Qualities

Exceptional organisational skills and an eye for detail, nothing slips through the cracks.
Strong written and verbal communication.
Discretion and sound judgement when handling confidential or sensitive matters.
Comfort with ambiguity and the ability to prioritise in a fast-moving environment.
Proficiency with calendars, email and standard office tools (e.g. MS Office).
A calm, dependable, can-do attitude, someone who anticipates needs rather than waiting to be asked.
Integrity, humility and a genuine willingness to learn and grow.

Experience

Recent graduates and professionals with up to three years of experience are strongly encouraged to apply. Prior experience as an executive assistant, personal assistant or in a coordination/administrative role is a plus, but is by no means essential. If you have the right mindset, a strong work ethic and a genuine appetite for learning, we would much rather invest in your potential than simply hire experience.
