Full job description

Job Summary

The Purchase/Procurement Executive is responsible for sourcing, purchasing, and managing materials, equipment, spare parts, and services required for the company's operations. The role ensures timely procurement at competitive prices while maintaining quality standards and compliance with company policies.

Key Responsibilities

Procurement & Purchasing

Identify and source suppliers for materials, equipment, and services.
Obtain and evaluate quotations from multiple vendors.
Negotiate prices, payment terms, delivery schedules, and contract conditions.
Prepare and issue Purchase Orders (POs) in accordance with company procedures.
Monitor order status and ensure timely delivery of materials.

Vendor Management

Develop and maintain relationships with existing and potential suppliers.
Evaluate supplier performance based on quality, delivery, cost, and service.
Maintain an approved vendor database.
Conduct periodic vendor assessments and audits.

Cost Control & Budget Management

Identify opportunities for cost reduction and process improvements.
Compare market prices and negotiate favorable commercial terms.
Support budget planning and cost forecasting activities.

Inventory Coordination

Coordinate with warehouse and operations teams regarding material requirements.
Monitor inventory levels and ensure optimum stock availability.
Prevent stock shortages and overstock situations.

Documentation & Compliance

Maintain procurement records, contracts, quotations, and purchase orders.
Ensure procurement activities comply with company policies and legal requirements.
Prepare procurement reports and purchase summaries.
Support internal and external audits.

Coordination & Communication

Liaise with project, maintenance, operations, and finance departments.
Follow up on supplier deliveries and resolve procurement-related issues.
Coordinate with accounts for invoice verification and payment processing.

Qualifications

Bachelor’s degree in supply chain management, Business Administration, Commerce, Engineering, or a related field.
Diploma holders with relevant procurement experience may also be considered.

Experience

2–5 years of experience in procurement, purchasing, or supply chain operations.
Experience in construction, heavy equipment, crane rental, engineering, manufacturing, or project-based industries is preferred.

Required Skills

Strong negotiation and vendor management skills.
Knowledge of procurement processes and supply chain principles.
Good analytical and cost evaluation abilities.
Proficiency in Microsoft Office (Excel, Word, PowerPoint).
Experience with ERP systems (SAP, Oracle, Microsoft Dynamics, etc.) is an advantage.
Strong communication and interpersonal skills.
Ability to work under pressure and meet deadlines.

Preferred for Heavy Equipment / Crane Industry

Knowledge of crane spare parts, hydraulic systems, tyres, wire ropes, rigging gear, and maintenance consumables.
Experience in sourcing local and international suppliers.
Familiarity with import/export procedures and customs documentation.
Understanding of project procurement and site logistics requirements.

Salary Range: As per company standards and candidate experience.
