Front Desk Executive & Admin

Experience Required: 2–3 Years

Work Type: Full-time | Location: Gokhale Business Bay, Kothrud, Pune

Role Overview We are looking for a smart, well-groomed and fast-learning Front Desk Executive who can also take ownership of day-to-day office administration. This is a dual role: you will be the first point of contact for all visitors, guests and walk-ins, while also managing housekeeping, pantry stock, travel bookings and general office operations in coordination with the Operations team. The ideal candidate is presentable, organised, proactive and comfortable juggling front-office and back-office responsibilities independently.

Key Responsibilities

Manage the front desk independently, greet, attend to and direct all visitors, guests and walk-ins in a professional and courteous manner.
Handle enquiries, couriers and correspondence, and route them to the concerned person/department.
Maintain the visitor log, meeting room bookings and conference room scheduling.
Oversee day-to-day office administration, including facility upkeep, seating arrangements, cleanliness and general office presentation.
Supervise and coordinate housekeeping staff; ensure cleanliness and hygiene standards are maintained across the office.
Track and maintain stock of pantry supplies and housekeeping/consumable items; raise timely purchase requests and coordinate with vendors.
Arrange domestic and international travel bookings (flights, hotels, cabs, visas) for employees and visiting guests.
Coordinate with vendors and facility/building management for repairs, maintenance, AMC renewals and office supplies.
Manage vendors for pantry, housekeeping, stationery, travel and facility services; identify, negotiate and ensure quality, timely delivery and cost-effectiveness.
Support the Operations team with day-to-day business operations tasks, documentation and coordination as required.
Maintain employee records and other administrative documentation.
Assist in planning and organising internal events, meetings, celebrations and guest visits.
Ensure office safety and security protocols are followed.
Support onboarding logistics for new joiners along with HR (workstation, access cards, stationery, welcome kit).

Skills & Requirements

Graduate, preferably in Hotel Management / Hospitality or a related field.
2–3 years of relevant experience in front desk, guest relations or office administration.
Smart, presentable and a fast learner with the ability to multitask under pressure.
Prior experience independently handling a front desk / reception is a must.
Working knowledge of MS Office (Word, Excel, Outlook) and basic admin software.
Strong communication and interpersonal skills with polite and confident telephone etiquette.
Well-organised, detail-oriented and dependable, with good ownership of tasks.
Ability to coordinate with vendors, staff and cross-functional teams effectively.

Compensation & Other Details

Salary: Up to ₹4,50,000 per annum, based on experience and interview performance.
Working Days/Hours: Monday to Friday | 9:00 AM to 6:00 PM
Location: Gokhale Business Bay, Kothrud, Pune
