Full job description

Job Summary

We are seeking a proactive and detail-oriented Office Coordinator to manage and coordinate office operations in our growing solar energy company. The ideal candidate should have a B.Tech qualification (mandatory) with a minimum of 3 years of relevant experience in office coordination, documentation, quotations, and financial administration. Excellent spoken and written English is mandatory.

Key Responsibilities

Prepare accurate quotations and proposals for customers.
Coordinate order confirmations and ensure timely processing.
Handle tender documentation, bid submissions, and maintain tender records.
Maintain project, customer, vendor, and company documentation.
Follow up on customer receivables and coordinate with the finance team for timely collections.
Assist in invoice preparation, payment tracking, and other financial documentation.
Coordinate with the Sales, Procurement, Accounts, and Project Execution teams.
Maintain MIS reports, office records, and operational documents.
Track order status and provide regular updates to internal stakeholders.
Ensure compliance with company policies and documentation standards.
Perform general office administration and coordination activities.

Qualifications

B.Tech (Mandatory) – Preferably in Electrical, Electronics, Mechanical, Civil, or a related engineering discipline.
Minimum 3 years of experience in Office Coordination, Administration, Documentation, Tender Handling, or a similar role.
Experience in the solar, electrical, construction, EPC, or renewable energy industry will be an added advantage.

Required Skills

Fluency in spoken and written English (Mandatory).
Excellent communication and interpersonal skills.
Strong knowledge of Microsoft Excel, Word, and other MS Office applications.
Experience in quotation preparation and tender documentation.
Good understanding of receivables follow-up and financial documentation.
Strong organizational and multitasking abilities.
High attention to detail and problem-solving skills.
Experience with ERP software is an added advantage.
